Unit Summary
This unit describes the skills and knowledge required to manage a range of meetings including overseeing the meeting preparation processes, chairing meetings, organising the minutes and reporting meeting outcomes.
The unit applies to individuals employed in a range of work environments who are required to organise and manage meetings within their workplace. These individuals may work as senior administrative staff or may be individuals with responsibility for conducting and chairing meetings in the workplace.
No licensing, legislative or certification requirements apply to this unit at the time of publication.
Conditions and context of the assessments
Skills in this unit must be demonstrated in a workplace or simulated environment where the conditions are typical of those in a working environment in this industry.
This includes access to:

▪ computers and relevant software.

Re-assessment
To gain competency you need to get Satisfactory (S) result in all the tasks. If Not Satisfactory (NS) result is given even for a task you will be deemed Not Yet Competent (NYC). Students who are unsuccessful at achieving competency at the first attempt will be offered coaching, information and additional time (other needs if required) before a second and possibly a third attempt is made. If the student is not able to satisfactorily complete the assessment after the third attempt the student will be deemed Not Competent and resulted as such. The student may re-enrol in the qualification at a later date to gain successful completion of the unit/s.

Plagiarism

Complaints and appeal
Where a student wishes to appeal an assessment decision they are required to notify their assessor in the first instance. Where appropriate the assessor may decide to re-assess the student to ensure a fair and equitable decision is gained. The assessor shall complete a written report regarding the re-assessment outlining the reasons why assessment was or was not granted. Assessors Intervention
Assessors are to check that the student is ready for assessment, and defer the assessment if they are not. It is important that assessors do not teach at the assessment but allow students to competence for themselves.
Feedback is to be given at the completion of the assessment using the feedback to student. If a student does not meet a standard, the assessor is to sit down with them and assist them in their understanding. Should you disagree with the assessment outcome, you can appeal the decision as stated in the Student Handbook.
Your student record must indicate that you have all required skills and knowledge in completing the task. For each assessment, the assessor is to act as a supervisor and not interfere with the assessment. If the assessment activities will impact on your safety or that of others, the assessment must be stopped immediately.

Assessment Instruction
Assessment is mapped to the unit and must be completed by the end of each unit. For answers to written questions, reports and projects, you must:
• Print clearly in black or blue pen or type it as a word document
• Answer each of the key points and /or follow instructions
• Assessments written in pencil or are illegible will not be accepted.
Please NOTE: Student has to submit each and every assessment task. Ask your assessor if you do not understand any part of the assessment. Whist your assessor cannot tell you the answer, he/she may be able to re-word a question or instruction to assist in a better understanding for you.
Assessment Task 1: This task will require you to establish and verify meeting requirements with relevant stakeholder for at least one physical meeting and at least one virtual meeting.
Assessment Task 2: This task will require you to develop and distribute meeting agendas to confirm participation of required individuals in the meetings.
Assessment Task 3:
Your assessor will observe you as you chair at least two business meetings.
Specifically, you will chair two meetings according to organisational requirements, agreed conventions for types of meeting and legal and ethical requirements.
Assessment Task 4:
This task will require you to complete meeting follow up actions according to required timeframes and organisational policies and procedures, including:
▪ Reviewing meeting minutes for accuracy and correctness
▪ Reporting meeting outcomes
▪ Distribution and storage of meeting documents
Assessment Task 5:
This is a written assessment that will test student’s knowledge. This assessment may be completed over the duration of the training days. As the students learn, practice and review knowledge and skills, students will keep Assessment Task 5 in front of them and answer the questions as the information becomes clearer. At the beginning of each review session students will be given a few minutes to familiarise themselves with the questions. Students will be given extra time at the end of the day to complete this assessment or to clarify facts with the Trainer/Assessor
Competency Decision Student must satisfactorily complete each assessment tasks to be Competent (C) in the unit. Student with unsatisfactory completion of any of the assignment tasks will be deemed Not Yet Competent (NYC).
Reasonable adjustment
To meet the needs of all learners’ adjustments can be made to the way assessments are conducted but not to the requirements of the
assessment. The purpose of these adjustments is to enhance fairness and flexibility so that the specific needs of students can be met.

Practical Assessment
The Practical Assessment is a set of tasks that must be completed in a workplace, or in an environment with conditions
similar to that of a real workplace.
To be assessed for this unit of competency, you must demonstrate your skills and knowledge to manage a range of
meetings including overseeing the meeting preparation processes, chairing meetings, organising the minute’s and
reporting meeting outcomes.
This unit applies to individuals employed in a range of work environments who are required to organise and manage
meetings within their workplace. These individuals may work as senior administrative staff or may be individuals with
responsibility for conducting and chairing meetings in the workplace.
The Practical Assessments in this workbook include:
1. Workplace Project Assessment
A series of written practical tests assessing the learner’s practical knowledge and skills underpinning of the unit
of competency. This includes the learner completing workplace documents or similar as evidence of competent
performance.
2. Workplace Practical Observation
A set of assessment tasks where the learner must demonstrate practical skills relevant to the unit of competency.
These skills are to be demonstrated while being observed by the assessor.
IMPORTANT!
▪ All signatures/initials in your submissions, including yours, must be handwritten and dated. Submissions with
signatures/initials must be scanned.
▪ The supervisor/observer who completes and signs your evidence submissions must provide their real name,
contact number, and email address for your assessor’s reference.

Workplace Project Assessment
Project Overview
This workplace project assessment requires you to prepare, conduct and follow up business meetings on at
least two occasions.
This assessment is divided into four tasks:
▪ Task 1: Establish and Verify Meeting Requirements
▪ Task 2: Develop and Distribute Meeting Agendas
▪ Task 3: Conduct Meetings
▪ Task 4: Meeting Follow Up Actions
This project requires you to complete the assessment tasks in a real workplace, or in an environment with conditions
similar to that of a workplace in this industry.
This includes access to:
▪ Organisational policies and procedures for managing meetings
▪ Computers and relevant software
Each task comes with a set of instructions. You are to follow and perform these instructions while being observed by
the assessor and/or submit any required documentation.
Before starting this assessment, your assessor will discuss with you these tasks, including instructions and guidance for
satisfactorily completing them.
You are required to:
▪ Complete the tasks within the time allowed, as scheduled in-class roll.
▪ Prepare for meetings by meeting requirements, with relevant individuals, develop agendas and papers according
to organisational policies and procedures
▪ Conduct meetings according to organisational policies and procedures for chairing, minute taking, problem
solving, resolution, legal and ethical requirements.
▪ Follow up meetings with reviewing, editing minutes, distributing, storing and reporting outcomes according to
organisational policies and procedures.

This task will require you to establish and verify meeting requirements with relevant stakeholder for at least one physical
meeting and at least one virtual meeting.
Identified information will be used to develop meeting agendas for Workplace Project Task 2
Use your workplace/organisation’s Meetings preparation Checklist and Policies and Procedures for meetings to complete
this task or use the Meeting Preparation Checklist provided.
To complete this task, you must:
▪ Obtain information that you need to identify the scope and objectives of the workplace sustainability policy you
will develop.
This will require you to access and research information relevant to sustainability, including:
o Federal and/or state/territory legislation, regulation, or best practice related to conducting business
meetings
o Organisational policies and procedures for managing meetings
o Ethical requirements in line with managing and conducting meetings
▪ Establish and confirm information for each meeting with relevant individuals

Your assessor will observe you as you chair at least two business meetings.
Specifically, you will chair two meetings according to organisational requirements, agreed conventions for types of
meeting and legal and ethical requirements. This must correspond to business meetings identified in Workplace Project

To complete this task, you must:

Meeting follow up actions
ASSESSMENT INSTRUCTIONS
This task will require you to complete meeting follow up actions according to required timeframes and organisational
policies and procedures, including:
▪ Reviewing meeting minutes for accuracy and correctness
▪ Reporting meeting outcomes
▪ Distribution and storage of meeting documents
You will need to access Meeting Minutes from Workplace Project Task 3 and Policies and Procedures for Meetings from
Workplace Project 2.
To complete this task, you must:
▪ Proofread each meeting minutes completed from Workplace Project Task 3 to check for accuracy against
organisational procedures
This must be reviewed and rectified for the following:
o Accuracy of information recorded in the Meeting Minutes to information discussed during meeting
conducted in Workplace Project Task 3.
o Use of appropriate structure, spelling, grammar and punctuation.
▪ Report meeting outcomes and distribute final meeting minute copies to participants of meeting
▪ Store meeting documentation based on organisational requirements
