This will be a draft that I will be creating to address the new EDMS that can be used by the company in order to store and also track all e-documents. I will also be identifying the type of e-documents and any other content that can be created like things such as spreadsheets and letters and reports possibly. I will also give examples of the e-documents that may exist within Hollywood Organic Co-op organization. I will also explain the key personnel that is within the Hollywood organic organization where who requires access to the EDMS and also Explain the appropriate logical access controls for the EDMS based upon the roles that are within the organization who requires access to each type of E-document.

According to research an EDMS will allow an organization to process any proper storage for any type of documents that they would have and it will allow the files to be accessed from any location by multiple users who are verified and have the proper credentials to access these files . Hollywood organic co-ops has 5 locations that are 15-mile radius from the airport, each of these locations has a management tool for their e-documents that will be unique per location which will make it difficult for some employees. Some of the employees will need to be trained due to the organization having multiple systems because there are different locations there will be different systems in each of these locations, with one of their major sites having been hacked recently the company will have to be implementing a new system that is improved for their security and also the efficiency of the system and making it a priority. The company will be able to benefit from a new EDMS they can be used at every location.

In order to help manage e-documents that are across an organization and EDM S can assist with that by automating the process and also making sure that the proper procedures are being followed correctly. below you will find the type of e-documents that the EDMS will be able to support:

· PDF – Portable Document File ( Used for text documents that would need to be protected and also signed )

· PNG -Portable Network Graphic ( Used as a compress lossless image of text or graphics )

· JPEG – Joint Photographic Experts Group ( Used to allow tags of data )

· TIF – Tagged Image Format ( Used for scanned images for the organization )

· Microsoft Document ( Used for text documents that do not need to be protected and signed )

· Other Microsoft Files

For each type of e-documents it will have to very which means it would depend on the information in the how sensitive it is on how it will be decided it is handled. The e-documents we'll also have a requirement of having the name of the person that is uploading the files originally and if there are any edits that person name should be on there as well the e-documents will have to be reviewed as well as index and that will be depending on the type of information that is in that file.
