(Beverly) To build an automated order entry system for a large retailer, the cooperation of the key people who are assigned is key to my success. Gathering information that can help me assess the current system uses and what new requirements are needed will depend on the information that I gather from the users. In this case, I have been assigned resource people who I am assuming are users of the current system. Their lack of technical expertise in my field has caused them to be suspicious of my project. To assure that I get the necessary cooperation, I would make them comfortable by talking to each one of them and listening to what they have to say concerning the use of the current system, what it does, and what they may want the new system to do. This is the process of determining the system. Talking to the resource of people assigned to help me, I can find out how they would like to improve the current system along with the organizational procedures with the new or replacement information system (Joseph Valacich, 2015, p. 128).
To make sure that I obtain all the necessary information needed, when speaking with those involved I would use the open-ended question technique of interviewing them. Using this technique can sometimes bring out unexpected and unknown information. It also, more importantly, will give the resource people more of a sense of involvement and control over what information is shared. Listening to their answers carefully and following up if needed, I will gain the cooperation and trust needed to succeed with my project.
Using the traditional method to collect information will help ensure the cooperation and involvement of the users, or resource people but I could also use a more modern method called “Joint Application Design”, (JAD) (Joseph Valacich, 2015, p. 137). Using this form of collecting information will not only support effective information collection and structuring while reducing the amount of time for analysis but it will also bring all those involved together to hash out the pros and cons of the current system and what is needed for the new or replacement system. It is a great way to collaborate and get everyone on the same page. This form or method will produce, in my opinion, a positive outcome.
