Assignment 1: Business Process and Functional Modeling

Advanced Business Systems (ABS) is a consulting and staffing company providing specialized staffing and consulting services to clients in a variety of different industries. It has offices in major U.S. metro areas and has ongoing relationships with Fortune 500 companies. Its areas of services range from software development and network engineering to geo-information systems. It has 50 plus regional offices in U.S. and five (5) offices in Canada. It plans to expand to other countries in the future.

When an ABS client company determines that it will need a contractor or temporary professional, it issues a staffing request against the contract it had previously negotiated with ABS. The contract manager in ABS reviews the staff request and ensures that the request is valid with its current contract with its client from the database.

If the request is not valid, the contract manager sends the staffing request back to the client and explains the reasons and asks for the need for starting a new contract.

If the request is valid, the contract manager will start recruiting requests by putting the request into its staffing database. The staffing request is then sent to ABS placement department.

In the placement department, the placement specialists will check the job requirements and candidate’s qualifications.

If there is a qualified candidate, the specialist will notify the candidate and put a note in the database.

If a qualified candidate cannot be found or not immediately available, the specialist notifies contract managers and the recruiting department; the recruiting department starts searching outside immediately.

The recruiting department normally has 30 days to find an outside candidate and send the qualified candidates to the placement department to review. If an internal qualified candidate is confirmed with his / her availability, the confirmation will be sent to the arrangement department. In the arrangement department, the candidate works with the specialists to further confirm the placement details, such as starting date, location, compensation (e.g., per diem), and travel arrangement. The final confirmation will be sent to the client along with a billing schedule. If the client agrees with the arrangement, he/she acknowledges the arrangement with contract managers in the contract department. The contract manager then puts a memo into its database and closes the request.

Advanced Business Systems (ABS)

The Advanced Business System (ABS) provides specialized staffing and consulting services to their clients. Their clientele is composed of various backgrounds and industries, and even some of them are part of the Fortune 500 ranking.

The ABS clients utilize their system to have a systematic and robust system to improve their hiring process, which is verifiable and have complete control over the steps and processes. The best approach to handle this is with the software to manage the hiring of new employees. Advanced Business System is a staffing company that provides recruitment consulting for various companies. The scope of the system is therefore limited to hiring and promotion of employees. The system can be extended to include compensation and promotion of employees. Using the system, the historical data of the employees is easily traceable. The company is situated in major cities in the US and serves many industries. It has many services in software development. When a staff is required, it is contracted to provide, and all the staffing request is handled. The company first looks into the company employees to search for a suitable staff then looks for the talent required. When this is done, and no staff can fit the position, the company looks elsewhere for more staffs. The requirement shown below is used in controlling and managing the employee data, both new and old to track their promotions and personal development. The system will provide the following high-level functions.

Before the customer can interact with the system, their identity must be verified. This security process was designed with a dual identification method which requires a username and password to initiate the login process. In addition to, the customer must provide a randomly generated passcode that is sent to a previously issued token to verify their identity. Through this user interface, the clerk can update user data such as contact information and marital status (Denn, 1987). Apart from this, the users can have access to different data such as the list of all recruited employees currently in their database. When recruitment is done, a new user is introduced into the system, so it becomes part of the main database. The new system will also be used in managing the absence, employee expenses, and other standard requirements. The system can be extended to have payroll, health and safety monitoring, training and learning management, talent management, and technology requirements per job schedule. Recruitment expenses will also be reflected in the system for an easy payout. Apart from these requirements, the system should give a list of open positions per company and provide more information about these positions. The proposed system will go ahead, have a schedule for these systems, and provide full assessment criteria for these positions. Online Recruitment System enables the users to have the typical recruitment facilities and features at their disposal (Scheer, 2000). The system makes it simpler to share and manage the organization’s human resource requirements with higher efficiency and easiness. The objective of these websites is to serve as a standard meeting ground for job seekers and organization, both locally and globally. This kind of systems is specifically designed for the organization to help in solving staffing problems and managing human resource department activities at a high degree of optimization.

When ABS Client Company requires an employee, contractor or temporary employee, the request is made to ABS. The request is formally made against the contacts previously provided and on the terms previously required. The request is first reviewed before it matures to go into the next stage. If the request does not satisfy ABS, the request is taken back to the client company. If the review is approved the request is taken to the next stage of the requirements. The next stage is putting the request in the database of the company and ABS places a request to the employee about the requirements of the company. In the placement department, the job requirements are looked into and different potential candidates are checked. If an employee is found in the database that matches the requirements, the candidate is selected otherwise the selection is made from an external source (Havey, 2009).

When a candidate is found from outside, there are 30 days to review the candidate, and the information is sent to the HR department of the client company. Other details sent include the salary, age, allowances and other relevant details about the company (Rosa & Soffer, 2013). Each employee data will be entered into the system, and the admin will assign the employee the role and salary as defined in the job description after which the user is given a password to move to other systems.
