IT Needs Matrix

List the clinical and administrative IT needs of each department, in the applicable columns.

Explain how the IT needs of each department are, or are not, being met.

Departments

IT Needs (Clinical)

IT Needs (Administrative)

Needs Met or Not Met?

Admissions/Intake

Processes; processes such as health monitoring and medical treatment requires the use of IT

EHR and Data sources managemnt, patient information records and indicators. The components of health information system requires the use of IT

The needs are met by establishment of a strong EHR system to manage admissions and intake

Human Resources

The use of IT is needed in order to Communicate effectively, perfom recruitment and retire functions

Outputs such as; sending emails and memos to staff members in case of an emergency requires the use of IT

The needs are met by installing computers used for communication inside the hospital

Nursing Services

CPOE; IT is needed to perform functions such as; Patient care, health monitoring machines, and medical treatment

Inputs such as; workflow solutions fro personnel, and robotics requires extensive use of IT

The needs are met by establishment of proper nursing care plan monitored by different gadgets in the medical center

Imaging

Indicators used in the Diagnosis, and usage of radiowaves in treatment requires the use of IT expertise

The use of IT is needed in monitoring and evaluation of the safety of radiology equipment

The needs are met by sending the images digitally to Cedar Valley Radiology for consultation

Billing

Financing; Receiving reimbursement after treatments and documenting services and procedures.

Inputs such as Encoding and documentation of patient payment information, receipts

The needs are met by the establishment of online billing pay system to cater for the patients needs

Clinical Laboratory

IT is needed in the Pharmaceutical research and development

Examining different pharmaceutical products in the hospital

The needs are met by establishing a basic metabolic panel to address the clinical needs

Facilities and Maintenance

Logistics support; Monitoring, inspection and testing of various systems

Inspection of the working conditions of various machines

The needs are met by setting a side a special IT team to maintain all the systems in the hospital

Rehab and Therapy

Informations and communication technology; Enhance rehabilitation, prevent decline, monitoring change and maintaining healthy living.

Mechanics for coordinating care; Management of medically compromised dental care

The needs are met by a proper diagnostic x ray machine used for the purposes of screening in the hospital

Medical Records Department

Record analysis and share patient health data

Management and storage of patient records

The needs are met by ensuring HIPPAA regulations are in place and are followed

Emergency Services

Health monitoring and first aid administration

Administraton of ER services

The needs are met by the special team of specialists seta side to handle the IT needs incase they arise

Operating Room

Clinical performance optimization

Monitoring of patient recovery process

There is a proper pre and post operation services

Intensive Care Unit

ECG interpretation, injections and defribilations

Regulating vascular access equipment and airway access equipment

Availability of special neonatal and surgical care equipments meets the IT needs

Information Systems Technology

Maintainance of systems and databases.

Monitoring the working of databases and systems in the hospital

The needs are met by establishment of electronic medical records systems maintained by an IT team that is set in place

Hospital Pharmacy

Pharmaceutical research and development

Analysis of the different pharnmaceutical products produced by the hospital

The needs are met by following the medication formulary set by the medical center

Behavior Health Unit

Monitoring and evaluation of patient behaviour.

Cataloging the recovery stages of patients

The needs are not fully met because there is lack of a proper system to catalogue stages of recovery of special category of patients

Summary of Findings

[Write 3–4-paragraph summary of your findings related to system functionality, commonalities, and differences.]

There are six key parts of a solid Health Information Management System. They incorporate; health data system assets, markers, data sources, data management, data items and in conclusion, dispersal and utilization of the data. These six parts can be extensively classified into three general classifications specifically; inputs, outputs and processes. These key components needs to be addressed in order to come up with a successful implementation of IT needs.

The overall IT both clinical and administrative needs are met by the establishment of a strong EHR system to manage admissions and intake, by installing computers used for communication inside the hospital. They are met by the establishment of proper nursing care plans monitored by different gadgets in the medical center. The hospital also has a comprehensive plan whereby they are sending the images digitally to Cedar Valley Radiology for consultation. The needs are also met by the establishment of an online billing payment system to cater to the patients' needs. This criteria is advanced compared to the manual systems of entry used by the facility prior to the implementation.

The medical center has also established a basic metabolic panel to address the clinical needs, however, there is a problem in the implementation of these IT needs because most employees are semi-skilled when it comes to uses of IT in the various departments. Sending images for analysis in a different facility also increases the amount of delay in performing other related functions.

The medical center has ensured some of the needs are also addressed by setting aside a special IT team to maintain all the systems in the hospital. Setting up a proper diagnostic x-ray machine used for screening in the hospital also addresses all the therapeutic needs of the hospital. There are HIPPAA regulations in place followed by all staff members this ensures that the staff members are equipped with the ethics when handling the equipment. A special team of specialists sets aside to handle the IT needs incase they arise and there is a proper pre and post-operation services.

In a future implementation plan, data management needs to take on a center stage. This is because it aims at the collection, compiling, analysis, processing an storage of data. It also allows easy access to relevant information to those who need it while maintaining the privacy, confidentiality and integrity of the stored information. There are two types of data management in health information system; minimum data-set and integrated data repository. A minimum data-set simplifies data collection and improves the quality of data collected. An integrated data repository on the other hand combines data from various sources and helps in the collection, management and distribution of the data..
