Team Performance Reporting

The project progress will be reported using the reports sent to the management and the firm's representatives at regular intervals. The words will have the project’s status and provide the stakeholders with substantive data that they can use to compare the progress of the office relocation project with the set project plan. The reports will include the work completed over a project and the available program to ensure that any remaining work is completed on schedule and within the company's budget. Project work performance reports will be presented biweekly to the organization’s management, two weeks a month (Müller et al., 2019). The pieces will be made in a manner and language that will be simple and easy for all the stakeholders in the organization to understand.

There are various historical artifacts that I, as the project manager and the team, will review and include in my reports. One of the reports that will be incredibly significant will be the company’s previous office layout and a statement that suggests the changes that should be made to the existing office layout, including the challenges of the former office layout (Müller et al., 2019). The project communications management tools that I will use include the project board that will help stakeholders and the team understand work that has been planned for, progress, and the deliverables that have already been completed. The project team will also use a discussion board to help have meaningful conversations. The discussion board will be an excellent tool for the team members to express any grievances and compliments related to the project (Picciotto, 2020). Additionally, I will use a document repository where the weekly reports, meeting minutes, and other documents will be easily accessible for the team.

As the project continues, the workload could increase or reduce such that the resources and materials planned for might need revisions. These revisions will be reported through various avenues, and the first avenue is having a meeting with the company representatives to discuss the issue. If the modifications are minor, then calling the company’s management or the client will be enough to brief them on changes and why they were not anticipated in the project planning phase (Picciotto, 2020). The project communication will ensure respect for persons where the uniqueness and differences between individuals will be appreciated and respected. During meetings, the stakeholders shall be required to ensure that they speak in a manner that is not judgmental and also provides that they do not use any foul language. To ensure effective communication and ensure ethics, the preferred communication method of the organization will be considered.

Project performance information will be collected from the team members, and it needs to be accurate, authentic, and transparent. To ensure that the information is accurate, I will ensure that two members verify and confirm any information and sign to confirm that the data is accurate and correct (Rodríguez-Rivero et al., 2020). There are various templates that I will use during the project. One of them is excel templates available online such as the project communication matrix template that will help me record the different methods of communication and how frequently they will be used in the project. I will also use a flow chart that will show how the communication will flow within the organization and what will happen in each phase (Rodríguez-Rivero et al., 2020). The team's performance will be reported through the use of excel templates and graphs that show the progress and performance of different key team members.
