Part C– Project: Managing an operational plan at work

Purpose - You will demonstrate your skills and knowledge by completing a project in your workplace.

Task overview and instructions to the candidate-

Using a proposed operational activity or business plan item from your workplace, complete these tasks.

1. Undertake some research to determine the resources that will be required to manage and implement this item as an operational plan. Your research should be presented as a report and based around a series of research questions that need to be addressed in order to set up the operational plan. Your report on this item should list each of your research questions, your sources and your findings. It is important that your questions address relevant items in your organisation’s mission statement and its business plan objectives.

2. Convert your research and analysis into a detailed operational plan.

3. Prepare a detailed consultation plan that will outline the processes and people who will need to be consulted for this operational plan.

4. Establish a set of key performance indicators (KPIs) that will assist in monitoring the implementation of the operational plan.

5. Prepare contingency plans for three possible risks that could occur during the implementation of the operational plan.

6. Prepare a briefing document on the operational plan to present to senior managers. The briefing document should contain the following: •Recommendations of preferred options with supporting arguments •Reference to the sources of specialist advice that contributed to these recommendations •Recommendations of processes to use in the operational plan that align with other policies and procedures of your organisation

7.Prepare a short briefing document that outlines the intellectual property issues that may be associated with the implementation of the operational plan.

8. Prepare a briefing document for work teams that explains your operational plan and outlines how it will be implemented in the set time line. The briefing document also needs to: •outline the aspects of the operational plan that will need to be implemented for a specific work group •if applicable, include a strategy to utilise existing staff once the operational plan has been implemented •contain a WHS risk assessment and legislative review of the issues associated with implementing the operational plan

9. Use the KPIs developed in task 4 to develop a monitoring process for the implementation of the operational plan. The monitoring process should include the following: •A breakdown of the overall plan into tasks •Time lines and responsibilities assigned for each task •A budget allocation to appropriate tasks •A mechanism to quantitatively analyse the level of completion of each task

10. Prepare a budget for the operational plan.

11. Use the monitoring process from task 9 to prepare a review of the operational plan’s implementation progress at a particular point of time. This report should cover the following items: •Analysis and interpretation of budgeted and actual financial information •Identified areas of under-performance •Recommendations for variations to the operational plan

12. Select one aspect of the operational plan where training, coaching and mentoring are relevant, such as new skill development. Using this scenario, prepare a detailed operational plan that focuses on external training and internal coaching and mentoring of staff. The new operational plan should include the following: •KPIs for monitoring the plan’s implementation progress and outcomes •A breakdown of the overall plan into tasks •Time lines and responsibilities assigned for each task •A budget allocation to appropriate tasks •A mechanism to quantitatively analyse the level of completion of each task •A process to evaluate the outcomes of the plan •A risk analysis of factors that could prevent the successful implementation of the plan

13. Imagine that, in your organisation, past records associated with the management of operational plans appear to be very difficult to find. A few questions to other managers have indicated that many of the files are still held by the relevant operational managers. Access the organisation’s information management policy and information management procedures and prepare a one-page guideline that will assist operational managers in managing and storing this information in accordance with policy and procedures.

14. Develop an implementation strategy for managers to use to ensure they follow organisational policies in the recruitment and induction of staff. Refer to your organisation’s human resource management policies if necessary.

Part C – Project: Leading and managing effective workplace relationships at work

Purpose

You will demonstrate your skills and knowledge by completing a project in your workplace.

Task overview and instructions to the candidate

In this project, you will illustrate how you have lead and managed effective workplace relationships. Respond to these tasks in the context of your workplace.

You are required to demonstrate your skills and knowledge to manage ideas and information, establish systems to develop trust and confidence, and manage difficulties to achieve positive outcomes.

Imagine that, as a team leader in your organisation, you receive an email from your manager or human resources department, notifying you that one of your team members has made a complaint, claiming he is experiencing age discrimination from other team members. It is your responsibility to manage this issue within your team.

Access and read your organisation’s policies and procedures relating to anti-discrimination, equal opportunity and conflict resolution.

Respond to each of the tasks. Tasks 1 to 4 should be submitted in a single word-processed document.

1. Summarise in dot-points the key issues relating to the situation and describe how they may relate to/impact on the affected team member’s work responsibilities.

2. Plan and list the steps you will take to manage the affected team member’s complaint promptly and describe how these comply with your organisation’s policies and procedures.

3. Describe how you would ensure that consultation processes would provide opportunities for the affected team member (and any other relevant staff members) to contribute to the issue in an appropriate manner.

4. Describe how you will provide feedback to the affected team member and other staff on the outcomes of the consultation process.

5. Develop an issue management process to ensure that the issues that have been raised would be resolved promptly and/or referred to relevant personnel. Compile the information into a word-processed document using the following as a guide:

•Symptoms – early warning signs of the issue

•Facts – identify the problem by gathering the facts, determining who is involved, talking to relevant people and establishing causes

•Analysis – evaluate the extent of the issue, determine the potential implications, consider the interests of all those affected and ensure adherence to your organisational equal opportunity policy, conflict resolution procedures and legislative requirements

•Options for resolution – define and evaluate options for resolution in consultation with relevant personnel and determine the best course of action

•Action plan – develop a plan of action, implementing the solutions within your organisation’s processes, and follow-up to ensure implementation

•Monitor outcomes – describe the process to monitor outcomes of the action plan, including ongoing support, counselling or guidance to assist co-workers in resolving their work difficulties

6. Prepare a report that describes how you display professional leadership behaviour through your own conduct. Include:

•ways you could or do gain and maintain the trust and confidence of colleagues and external contacts

•methods you use or could use to adjust your own interpersonal communication style to meet your organisation’s cultural diversity and ethical environment

•techniques you use or could use to guide and support team members in their own personal adjustment process.

Part C– Project: Leading and managing team effectiveness at work

Purpose

You will demonstrate your skills and knowledge by completing a project in your workplace.

Task overview and instructions to the candidate

Access and read your organisation’s policies, procedures, forms and templates relating to the operational plan.

Complete these tasks in the context of your role as a workplace team manager and collate all of your responses into a single document.

1. Prepare a briefing document that outlines your understanding of the team purpose, roles, responsibilities and accountabilities in accordance with organisational goals, plans and objectives. This document should be appropriate to distribute to team members as a consultation process to establish a common understanding.

Prepare a performance plan to establish the expected outcomes, outputs, key performance indicators (KPIs) and goals for the work team.

2. Outline what strategies you will use to support team members in meeting expected performance outcomes. These strategies should address any formal and informal learning requirements.

3. Outline the strategies you will use to ensure team members have an input into the planning, decision-making and operational aspects of their work.

4. Outline the strategies you will use to encourage team members to participate in and to take responsibility for team activities, including communication processes.

5. Prepare a draft policy and set of procedures that would outline how the organisation supports or implements processes to develop and facilitate team cohesion, or to allow team members to take responsibility for their own work or to assist others to perform required roles and responsibilities. It may be relevant to utilise information that has already been documented in answering questions 1–5 above.

6. Outline what leadership techniques and strategies you would use to provide feedback and encourage, value and reward members of your team.

7.Outline the process that you would use to ensure that issues, concerns and problems identified by team members are recognised and addressed.

8. Outline how you will ensure your own contribution to the work team serves as a role model for others and enhances the organisation’s image for all stakeholders.

9. Outline how you will facilitate communication processes with each of your team’s stakeholder groups.

10. Outline how you will facilitate a two-way flow of information on team performance issues between your team and senior management.
