Task 6.1 – Project / Report/ Team Meeting Observation

A Copy of the Team Report MUST be submitted for every student Individual Questions Assessor Observation Report (must be signed and dated by your assessor)

Assessment Instructions to Student:

· Attempt all questions in the assessment.

· All answers to be typed using Microsoft Word

Resources permitted during assessment:

· Dictionaries: Standard, Bilingual, Digital

· Electronic devices: Laptops, Computers, Internet

Reasonable adjustment: Trainers may make reasonable allowances for learners in accordance with the C&I Learner Support Policy contained in the Participant Handbook. This may relate to the timeframe for undertaking this assessment task in class or relate to an extension to the due date. Consult with the Curriculum & Learning Manager prior to administering this assessment to ensure Learner Support needs are met.

Performance Evidence

Evidence of the ability to:

· apply practices that promote innovation within a team including:

· modelling open and respectful communications

· contributing to the make-up and rules of the team

· planning and scheduling of activities

· reflecting on activities, feedback and challenges to identity improvement options

· encourage others to contribute to innovation in the team

· implement improvements and communicate about them.

Note: If a specific volume or frequency is not stated, then evidence must be provided at least once.

Knowledge Evidence

To complete the unit requirements safely and effectively, the individual must:

· explain what innovation is, the different types of innovation and the benefits of innovation

· describe the internal and external factors that contribute to a team becoming and remaining innovative including:

· team characteristics

· the role of group dynamics and diversity

· broader environmental factors

· explain how activities can encourage or hinder innovation in a team including:

· allocation of time and activities

· modelling behaviour

· rewards and recognition

· communications

· feedback

PART ONE - PROJECT

Directions: This assessment is designed to reinforce your existing knowledge and extend your skills in the areas of managing your time independently and as part of a group, understanding and applying critical and creative thinking to complex work problems, demonstrating the ability to make decisions based on available options and monitoring your own performance as well as that of your team and initiate measures to improve it.

Your manager has identified the following problems in your workplace. Working in teams of 3-4 people, choose one only as the basis for your project:

1. You are asked to advise a newly appointed supervisor who needs to develop a strong and effective leadership strategy to increase team productivity and/or quality

2. An established organisation decides to relocate to a large regional city. You are asked to manage the transition. What are the challenges in planning and implementing this move?

3. You are employed by an organisation which is about to undertake a merger. Identify an effective strategy to promote a smooth transition for both the organisation and the staff

4. Or perhaps your team can suggest a different topic for your project. Please obtain approval from your trainer if you wish to design your own Workplace Problem as the basis for this project.

The following questions must be completed as a team

1. Working in your teams, you will need to actively guide and support each other through this process:

a) Identify , define and quantify the problem

b) Analyse the problem

c) Use creative thinking techniques to come up with an innovative solution

d) Present your Team solution in a business report style format using the Style Guide provided below

2. Each team member is to be allocated a task or tasks i n order to create a final report that must include the following:

a) A summary of your findings and methods. Suggested headings are:

· problem definition

· team profiles

· team rules of operating

· proposal for project activities

· details of task allocation

· timeline (including a Gantt Chart)

b) Supporting documentation including:

· research references

· budget proposals

· structured tools used in the development of the proposal such as:

· creativity tools (e.g. brainstorming)

· problem solving tools (e.g. fishbone)

· decision making tools (e.g. force field analysis)

· evaluation tools

The following questions must be completed individually

3. Review the team’s performance in terms by completing the following:

a) Provide details on each team member and the tasks they completed and the roles that they played

b) behaviours demonstrated by each that supported the team effort

c) the ideas that came from inside the team

d) how ideas were communicated, explored, tested and challenged

e) benefits of working with a diverse group to problem solve

f) benefits of using structured tools

g) identify and recommend areas for improvements to the team

h) describe the innovative characteristics displayed by the team

i) how external factors impacted the ability of the team to be innovative

j) what external feedback was provided that was useful for the team to be innovative

k) how the team celebrated their successes e.g. reward and recognition

l) who else could have joined the team to make it more successful

4. Review your own performance in terms of:

a. your role in the group (not what actions you performed)

b. how did you manage your time (independently and as part of the team)?

c. what support and guidance did you provide to the team?

d. how did you demonstrate that you valued the diversity in your team?

e. what reward or recognition did you give to other team members?

f. how could you do better next time?

STYLE GUIDE

Structure of reports should be flexible but generally follow:

· Title

· Introduction

· Body

· Conclusion/Recommendations

· Appendices

· References

Introduction should do the following:

· present an overview of the subject matter

· describe the research methods

· identify the findings (can use bullet points)

· list recommendations (can use bullet points)

· use language appropriate to audience and purpose.

Body text

Body text should be ordered into clear sections with sub-sections if required. Text should contain analysis of findings and should be written using paragraphs.

Language uses plain English as follows:

· active verbs

· present tense

· accurate language with any jargon explained

· formal English tone

· no contractions

General presentation

· use consistent format including fonts and styles

· use font size 10-12 for body text

· use 1.5 spacing

· one line between paragraphs

· justify text

· use same font style for all headings

· use section headings

· your name and date in footer

· include page numbers

· use correct citation for all references used.

PART TWO - TEAM MEETING OBSERVATION

You will be given time in class to conduct team meetings for your project. During this time, you MUST be observed by your trainer. The observation of your team meeting must allow opportunity for your trainer to observe you addressing all of the performance criteria in the Trainer Observation Guide below. Also, please ensure you are prepared to answer the Mandatory Questions listed in the Trainer Observation Guide below.

Assessor Observation Report (Assessor to complete only) You are to observe during the meeting and offer feedback based on the determined criteria in the table below. A mark of Satisfactory (S) means that the criteria have been met. A mark of Not Yet Satisfactory (NYS) means that additional learning or evidence is required. Note: It is compulsory for the trainer to provide written feedback in the comments section.
