Business Analysis and System Recommendations

Introduction

The success of an organization depends on the policies and various factors put in place to govern such an organization. Besides that, with the modern changes in technology and the trends in management, it’s also very important that an organization keeps tabs on the trending issues so that it’s not left behind. This is the condition that Maryland Technology Consulting (MTC) currently faces. There is a need to evaluate the current state at the facility in terms of hiring and recommend some of the most modern and appropriate techniques which can make it perform better and yield more profits for the organizations.

Process Analysis

Part1. Hiring Process

There has been massive development in the recruitment process at the facility. The use of technology has meant that there is no longer use of the ancient technique that involved physical delivery of the applications forms. However, today it’s a process that has to be adhered to for the benefit of both the company and the person in need for the job (McKenna, 2018). As such the current hiring system requires that the human resource plays a role of receiving the applications. Upon reception of the application forms, there is then reviewing to confirm if the applicants meet the requirements, those that do not meet the requirements are barred from proceeding to the next stage.

Besides that, there is testing of the candidates based on the kind of job they will be working on. They have to be tested both physically and mentally so as to determine their ability to meet the requirements of the company. This has always proved to be the most useful stage for the company as it provides first-hand information to the human resources on the capabilities of the candidates.

Then there is performing of the background and reference checks on these individuals. These are the candidates that have managed to pass through the above stages. This is stage provides further information on the candidates about their performance in the previous fields and their general performance. Those candidates that pass stage are the most likely to be given the job or considered for any chance if there is any within the company.

Recruiter

System will receive application via on-line submission through MTC Employment Website and store in the applicant database within the hiring system.

A more efficient submission process decreases time needed to receive and begin processing applications. This will present a positive image to potential employees and help MTC compete for top IT talent.

Administrative Assistant

System enables AA to prepare job offer letter by storing the offer letter template and information on each candidate; allows AA to select information to go into letter and put it into the template, which can then be reviewed and emailed to the candidate.

More efficient offer process presents positive image to applicants and decreases time needed to prepare offer letter, and enables MTC to hire in advance of the competition.

The Hiring Manager states that recruiting is only one area he is responsible for and he isn’t as responsive to HR as he could be. Therefore, he counts on the Recruiters to help manage the process and keep him informed.

Current manual system causes considerable communication breakdowns and takes additional effort and time to stay on top of the hiring process.

An efficient system with all information in one place, easily accessible via a dashboard, and updated in real time could make his recruiting job easier; and he could devote time to effectively working collaboratively and proactively with HR on his staffing needs.

Communications: Explain how a hiring system could improve internal and external communications

Workflow: Explain how a hiring system could improve the MTC hiring process by providing a consistent structure for each participant to perform his/her part in the hiring process.

Relationships: Explain how implementing an enterprise hiring system could foster stronger relationships with applicants/potential employees.

The dynamic changes taking place on the globe means that there must be ways that can be used to ensure that the hiring process is highly effective. For instance, in the initial phase, the recruiter should be able to receive application letters through emails within the given time frame, those that sent their applications past the given time frame they should not be considered. The reviewing process should also be easily done by the use of the computers which are automated such that those application papers that lack certain requirements are easily isolated.

The process of testing can also be improved by having a machine that takes records of the candidates. This can be done by either taking records of their retina, fingerprints or any of their body fluids. Through taking record of this sensitive information the machine should then be able to give accurate data about the mental and physical strengths and weakness of an individual (Ellis, Skidmore & Combs, 2017).

Then the stage of seeking background information can easily be executed by the various technological means available today. Referees can be reached by the use of mobile phones, if not reached they can also be accessed by the use of their emails. Through these techniques, the human resource manager should be able to get the rightful information required.

Recommendations

The world has gradually changed and the way things are being executed across the globe requires that one adopts the changes or becomes outdated. This is the case that Maryland Technology Consulting (MTC) has to ensure that it implements some of the most appropriate techniques in order to have good results from the use of the available resources. For instance, the facility requires that there should be the incorporation of the modern technological techniques that ensure there is an effective system used in the hiring process (Rudman, et al, 2016).

The entire process should be able to be done easily by the use of technology with minimum assistance from the human resource managers. For instance, there should away of technique put in place that advertises when the need arises for new employees, then works out throughout the entire process of testing and sieving out the candidates so that its left with the best who can then be left to be handled by the human resource manager being given the job.

Conclusion

Hiring process matters in the determination of the success of the organization. It's therefore, important that MTC takes this process with the seriousness that it deserves so that in the end if they can be successful results from the organization by the use of the available resources.
