Project Case Study: Closing the Project
It is time to conclude this project by wrapping up the various components of the project for the summary that is due next week.
Following the information, videos and PowerPoints this week, assemble a closing report that addresses the different areas of the project to bring finality and closure.
The following requirements must be met:
- Write between 1,000 – 1,500 words using Microsoft Word in APA 6th edition style.
- Use an appropriate number of references to support your position, and defend your arguments. The following are examples of primary and secondary sources that may be used, and non-credible and opinion based sources that may not be used.
- Primary sources such as government websites (United States Department of Labor - Bureau of Labor Statistics, United States Census Bureau, The World Bank), peer reviewed and scholarly journals in EBSCOhost (Grantham University Online Library) and Google Scholar.
- Secondary and credible sources such as CNN Money, The Wall Street Journal, trade journals, and publications in EBSCOhost (Grantham University Online Library).
- Non-credible and opinion based sources such as, Wikis, Yahoo Answers, eHow, blogs, etc. should not be used.

Project management
Initiation
Business case
At Johns College the students do not have a swimming pool, thus this has denied them opportunities like swimming for leisure and swimming lessons for co-curricular activities. Also, a swimming pool would help them be able to host swimming competition which would earn the College a credit. The College spends close to $12000 per term hiring swimming pools for its students. Thus constructing an Olympic size swimming pool will enable that College save more and earn more.
Feasibility study
The project is worth approval as it will only cost $12000 of which is a cost incurred by the College in a period of five years hiring outside swimming pools. When the project is complete, it will take it only 2 years to recover all the project cost as it will now hire it to other Colleges which will pay for use bringing back the money.
Project charter
The project will take approximately 5 months and 2 weeks. It will be pioneered by the College board of directors and local authority. It is aimed to build an Olympic-size swimming pool. The board of directors to approve the release of finances to be used in the hiring of the equipment and the labor required ("Project Management Life Cycle Methodology", 2016). The College principal will be responsible for the communication to the board of directors about the project progress on a weekly basis. He assumes the role of the project manager.
Job description
The project manager is the College principal who will oversee the use of the funds and will communicate to the College board of directors any new developments.
Project office checklist
We have a fully furnished office that also has a store where the materials and the equipment used in the swimming pool project are kept.
Project review
Having done the entire necessary requirement I can assure the College board of directors as the finance office that all is set to kick off the project.
Project planning phase
Project plan
In this project, we are to ensure that the swimming pool has the correct measurements just like the Olympic swimming pool. The different phases are to be completed as listed below.
Sign contract 1day, pay deposit 1day, approval 1 day, construction certificate 1 day, excavation 21 days, safety fencing 14 days, formwork and steel fixing 14 days, plumbing shell 14 days, concrete pour 14 days, curing process 14 days, tiling and paving 14 days, electrical and equipment 14 days, fencing 14 days, compliance inspection 4 days, prepare surface 14 days interior lining 14 days, final clean 7 days, fill and balance 1 day, hand over 1 day, the project closure ("Pool construction process | Crystal Pools", 2016).
Resource plan
We thus need an excavator, plumbing pipes, electrical cables, 50 bags of cement, 6-tonne concrete, form, steel, tiles, interior lining materials and wooden frames.
Financial plan
The project is to cost the fiancé department $12000, the financial breakdown has been described in the finance plan document.
Quality plan
The swimming pool has to meet the following specifications: be an Olympic size pool, have both the deep end and shallow end, have sufficient inlet and outlet roots, be fenced to control usage. Have an electrical pumping system for both inlets and outlets.
Risk plan
Some of the forecasted risks include subsurface geological and geotechnical conditions, collisions, funding, labor disputes, vandalism, insolvency of contractor and inaccurate contract time estimates ("Project Management Life Cycle Methodology", 2016). Some of the measures to mitigate the risks are changing the site of the construction, have the college clinic equipped to handle victims of collisions, have surplus funds to cater for the inadequacy of funds, fence the area to restrict access to rowdy students, subcontract in the case of insolvency and rescheduling of task dates.
Communication plan
The foreman will be sending daily emails to the principal who is the project manager on new developments. The vendors will be receiving a notice via the email on what they are required to supply three days before the supply date.
Contract the suppliers and phase review
Contracted the suppliers of the various materials and do phase review to ascertain on the completeness of the plan. After ascertaining that everything is okay, then the project can be executed.
The project execution phase
In this phase the following was done to ensure that the project does not get halted along the way, time management to ensure that the project will be completed within the set time, this includes reviewing each task and its date of completion. We performed cost management, this ensures that the estimated budget does not go beyond the set dates. This also ensured that no expense has been omitted, no unnecessary expenses are also included. Also, we did quality management to ascertain whether the swimming pool would meet our requirements in terms of size and specification. The specifications that we ensured that are on the quality review form included things like inlet pipes and outlet pipes, the pumps and the fence. Also, we ensured that the deliverables were measurable and achievable through reviewing the deliverables register.
We performed change management to ascertain whether any changes in the project would be accommodated, we found that due to time constraints that we would allow very minimal changes. The other management metric we did was the risk management and found out that there were so many possible risks that could occur thus needed extensive measures to mitigate them. Procurement management revealed that we had enough funds that could help us acquire all the resources needed in the project ("Project Management Life Cycle Methodology", 2016). The communications management that was done established that the best method to communicate through in regards to the progress and any developments on the swimming pool project.
Project summary
In this project, it was resolved that St Mary’s college needed a swimming pool that would help to host college swimming competitions and for use by the students. The project is spearheaded by the College Board of directors. The project manager is the College principal. A meeting was conducted that was headed by the College Board of directors. All the stakeholders were contacted and suppliers were selected. The project was started by excavating the land to have the swimming pool pit sunk. After excavating, the area was fenced to prevent unauthorized access to the area which may result in accidents. After fencing, the formwork and the fixing of the steel were done, followed by the plumbing shell. Pouring of the concrete was successfully done and the curing process, tiling, and paving are in progress. Generally, the project is 50% complete and we expect to complete the remaining part in the 2 months and a week’s time. Much of the deliverables have displayed in the Grant chart.
