Your task is to organise a conference suitable for and relevant to the industry that you work in and the organisation that you work for.

 

The conference will go for 2 days and will have at least 30 people attend.

 

For this task you will need to put together a Conference Report set out as per the layout instructions and with the following inclusions:

 

Layout instructions:

 

  • The first page of your Conference Report must be a title page including the title of your plan, your name, student number and date it will be presented.

  • The second page of your Conference Report must be a contents page outlining each section (as per the below inclusions) and the respective page numbers.

  • Use the below section headings as headings in your report.

  • Begin each section on a new page.

  • Include a header on each page with your name and student number.

  • Ensure that each page is numbered.

     

 

  1. Select and explain the purpose and topic of your conference.

  2. Identify the most appropriate style for your conference. (set up and layout of rooms)

  3. Design a checklist that you could use to assist you in selecting/assessing a conference venue.

  4. Write a program/agenda for your conference.(Include all meetings, exhibitions, catering, breaks)

  5. Write a confirmation letter that could be sent out to selected speakers.

  6. Identify the target audience for your conference.

  7. Design a registration form for your conference.

  8. Design an evaluation form for your conference to be given to participants at the end of the conference to determine its success.

  9. Write a letter to be sent to attendees once they have registered for and paid in full for the conference.

  10. Outline the procedures you would establish to ensure swift facilitation of registration at the venue.

  11. Design a form that speakers could complete to outline their conference requirements.

  12. Create a contingency plan for at least two contingencies that are necessary for your conference.

  13. Explain how you will make provisions for attendees with special needs.  Briefly outline two of these provisions and explain why they might be necessary.

  14. Outline the method that might be utilised to publish and distribute conference papers.

  15. Research, locate and briefly outline  the influence of laws relating to planning and administering  a conference: Cover the following legal aspects:

    a) Workplace health and safety

    b) Environmental sustainability

    c) Anti-discrimination

    d) Industrial relations

    Name the law; define its purpose and give an example of how it (the law) applies to the managing of conferences, for each of the four.
