Subject:           Business email assignment prompt – writing assignment #1

For your first writing assignment, I am asking that you write an introduction email to a team. I would like to provide you with the context for the email, specific content requirements and details for the assignment.

For the background of the assignment, I would like you to imagine that you are interning at WeylandYutani Consulting(WYC) this semester and have been assigned to a new team and a new project.Refer to attachment #1 for two pieces of information for context for the assignment. First, there is background information for your use. Second, there is an email from the internship coordinator who is asking for you to contact your new team.

There are two main content objectives to address in your email. First, you should introduce yourself and address your potential strengths as a team member and why they make you a valuable addition to the team. Be specific and concise – writing a long list of generalities about yourself will not convince your team of your value. In addition, you need make plans with your team membersto meet individually prior to the end of February. Remember that you are a brand new intern who is writing to people who are veteran consultants at CNS Consulting. You should use the appropriate tone and style for your audience.

Here are the details for the assignment:

  • Write no more than a one-page, single-spaced email with one-inch margins and appropriate font. The header on your email should include information on the recipients (To:), the subject line (Subject:), and the date of your communication.
  • Electronic submissions will be made as attachments to email.
  • IMPORTANT: Use the following format for the file name of your electronic submission:  16SprCoB 202_student name_business email

Please feel free to contact me via the usual channels if you have any questions.  The deadline for this assignment is 11:59pm on Monday, February 8, 2016. I look forward to reading your emails.

Background information

You were recently hired as an intern over the winter break and are completely new to WeylandYutani Consulting (WYC). Your team consists of Carter Burke, Rebecca Jorden, Ellen Ripley and Dwayne Hicks. The team knows that they will have an intern working with them on the next project with the Tyrell Corporation but nothing more than that.

The Tyrell project will consist of two main phases: research and on-site. The research phase of will take place in March and will consist primarily of remote work between the WYC team and Tyrell Corporation’s representatives. There will be weekly team meetings for the WYC team. The second phase will take place in April when you will be working closely on-site with the WYC team as they visit Tyrell Corporation offices in Washington D.C.

Jenette Vasquez is the internship coordinator at WYC has emailed you with a request. She wants you to email your new team members in order to introduce yourself and set up initial face-to-face meetings before the research phase begins in March. Her message to you is below.

Subject: Need to contact WYC team for your internship

Dear intern:

Welcome to WeylandYutani’s spring internship program! I am excited to have you aboard this semester. You have already received the background information on the project you will be undertaking for WYC with Tyrell Corporation. I would like you to contact your team in order to introduce yourself as well as set up a meeting with the individual team members. Here is the information relevant to the task.

The team is expecting an intern for this project but they don’t know anything about you other than your name. They are expecting you to get in touch with them. The members of the team are Carter Burke ([email protected]), Rebecca Jorden ([email protected]), Ellen Ripley ([email protected]), and Dwayne Hicks ([email protected]). They are very experienced and have had great success on similar previous projects.

Please send one email to all the members of the team. Your email should introduce yourself and highlight information that will demonstrate your strengths that will allow you to be a strong contributor to the team. In addition, I would like you to set up individual members with each person on the team. Finally, cc me on the message so I know that you have contacted the team.

This should clarify what you need to know to contact the team. I would recommend emailing them no later than Monday, February 8. This will allow you several weeks to set up meetings before the end of the month. Let me know if you have any questions or issues.
