Ref: TELECOMMUTING PLAN

The new technology allows specific workers from an organization to telecommute and work from the comfort of their homes is becoming a widely accepted idea that is being adopted by various business organizations. In this letter, I would like to kindly elaborate to you on the essence of the technology in our work setup by outlining a plan that I think if we implement it well, will make our organization successful. The plan will include specifics concerning PC equipment, remote connections to the company’s servers and other information as well as tools for collaboration such as video conferencing and file sharing.

PC equipment

I would suggest that we find the best available PC equipment and other accessories from the most reliable vendors such Lenovo, HP, Dell and other renowned sellers so that we can get good quality ones that will make sure that we do not get disappointed later. The PCs should have high specs such as the best RAM, large storage space as well as use power sparingly to enable the sales persons from our organization to work without difficulties. All this qualities will make sure that the element of robustness is taken care of and hence the sales persons will work at their comfort of their homes without disruptions that may occur if this was not there.

Collaboration tools such as video conferencing and file sharing

I would also suggest that the collaboration tools to be utilized by our sales persons in the field should be made to be robust so that they can collaborate well with one another as well as with our clients. The tools for video conferences such as screens should be of the modern standards so that quality pictures and videos can be accessed for proper communications between them. The virtual communications lines that enable the communication of the various sales persons should also be made secure to enable safe transactions between them (Ford, 2016). Finally, on the file sharing tools, I will also emphasize on the need for the security concerns to be addressed enough. Various file sharing tools such as dropbox, dropmark, hightail, Google Drive and others should be well used to share information among the workers for positive collaboration between them. For instance, I would recommend that the workers should be taught on how to upload their files to the organization’s servers so that they can be retrieved easily by other workers for various purposes.

Remote Connectivity

For the plan to work properly, sales people will need a remote access to company servers and information. Sales workers will access servers and information using mobile. Various devices will be required to provide the remote connectivity. One category of the devices is the mobile equipment. Mobile devices will be required by the sales workers to access the company servers and information. Mobile devices that should be purchased include mobile phones, laptops and tablets. The software running the mobile phones should be customized to add specific functionalities required by sales personnel. Moreover, the phones should be having be fast in processing power and reliable to avoid crashes. The laptops should be designed to withstand harsh conditions as the sales personnel are constantly in motion. The laptops should be small enough to support portability . The tablets should have the required software to support sales operations (Alani, 2017).

Another category of devices to support the remote connectivity is the connectivity equipment. th ese devices will be able to establish a secure connection between the mobile equipment and the company servers. This equipment includes switches, gateways, Repeaters, wireless access points and modems. To ensure secure communication between the sales persons and the company’s intranet, network security measures should be used. For Virtual Private Networks should be used to prevent cyber criminals from tapping into communication channels. Also, Secure Session Layer can eb used to secure the communication link between the workers and the servers .

I believe the strategy described above will be effective in implementing the telecommuting plan for the sales personnel. The manager should ensure that quality equipment is purchased before implementing the plan. I hope you find this plan helpful.
