Email is an important communication tool in organizations. As such it is a critical component of information governance (IG) implementation due to several reasons. First, email allows people to engage in formal and informal communications. As such, it is perceived to be an ideal form of interaction in organization setting due its diversity. For this reason, an email allows organization members to send and receive information quickly. Here, junior employees can confidently request instructions from the supervisors or voice their concerns about certain issues without the fear of intimidation that is associated with face-to-face interactions. Thus, emails act as a bridge between organization members, and subsequently, streamline communication.
Secondly, email allows people to pass crucial information to many people at the same time. Most organizations have databases that contain their employees’ email addresses. As such, a member draft one message and copies all intended audiences. The approach optimizes communication within business and government entities as members do not have to draft separate message for their audience. Additionally, the management team can easily track employees’ communications and, in turn, determine whether they adhere to the set guidelines. This is because managers only need to check the creator of the message and the recipients to determine whether their followed set rules. Therefore, email is a critical component of IG because it can be used to engage many people simultaneously. (Hagmann, J. (2013).)
Thirdly, email provides people with a proactive platform to distribute information. Organization members expect to receive information about their operations continuously, such as feedback from their managers. Email allows organization leaders to provide timely and accurate information from time-to-time (Marabella, n.d.). For instance, email allows management teams to inform staff members about new policies that they formulate and the impact of implemented regulations on workers’ wellbeing. These features have made email a crucial mass communication tool as it allows organizations to pass crucial messages in time and to the right audience.

There are certain records, guidelines and policies with respect to email function and documents which are solely responsible for maintaining assets of an organization. There are several policies defined in every organization to define what emails actually represent the records with appropriate deadlines (Smallwood, 2014).
Email is one of the leading terms for information governance which holds a considerable amount of weight in business world for effective communication. Email acts as central component of the information governance in terms of discovering the national trials as email acts as a lending feature of proof. Employees and major resources of the organization utilize email on a daily basis for communication of business needs. Email is the source of communication for personal use in terms of social media, but in business world email act as a key feature in holding the sensitive issue that needs a wide range of privacy (Smallwood, 2014).
Many organization uses email as a source for initiating business behavior or format in a presentable format. Many official records that holds the data regarding market plans, business plans, records of data, business initiatives, prices, product descriptions and emails for service alerts. There are in numerous things that can be holded by integrating email function. Employees and management teams should deliver the effort jointly for effective corporate results with better communication. Without a stage to team up, it ends up hard for individuals to share thoughts and monitor gathering progress. Messages frequently get lost and strings become long, giving a simple path to DL groups to impart unity across all the individuals is beneficiary (May & Finch, 2009).
Our general business execution won't be as profitable as it could be on the off chance if one doesn’t have an effective communication platform. Sharing data in the working environment is essential for interior development and network. These can be effectively achieved by email which resolves most of the information governance commitments. Information governance is endured with security policies for email to safe guard the information sent on the email which are on a phase of risk. Several regulatory policies have been implemented to minimize the risks associated with emails such as hacking, tracking and capturing the data (May & Finch, 2009).
