COMMUNICATION PLAN

Introduction

Communication is an essential element in disseminating information to all personnel in the organization. The information below relates to the communication plan required to install automated project systems through advanced enterprise resource planning.

Communication Plan

The project entails changing organizational systems, and it entails changing operations in the management. The project team must communicate to all affected personnel what is anticipated of the new system. The project team will also communicate what the system will have and how the system will be used in the organization. Moreover, the project's elements will be communicated to the project sponsors and the superior team. It relates to the progress of the project and the financial reports of the budget. The expected versus the actual outcome will also be looked into to ensure that the organization will have advanced. Communication will be addressed to persons such as the project sponsors, executive management, the supervisors, employees, the project team, frequent clients, the community, the government, creditors, among other stakeholders (Antwi, 2020).

Communication will be done in phases. The project team will communicate with all operations of the project. Any meeting regarding the project should involve the all-project team. As the project completes any phase, they are supposed to communicate to all personnel. Communication will be done every month as the project is scheduled to complete all transactions. The project sponsors will receive their reports when they need them or monthly to be updated on its operations. Project team members will communicate whenever they need to communicate, and all members will be requested to meet at the scheduled time (Antwi, 2020).

The communication team of the project will send information via platforms such as interviews and memos. Communication will be via email and official memos by the organization. Memos will be disbursed to the organization, where any meetings concerning the organization will be addressed in the memos. Moreover, the project sponsors will receive brochures of the project progress and the activities carried out at any point. The management will also receive emails in their official accounts and an official update uploaded on the web for any third party who will need to know the project's progress (Antwi, 2020).

Communication is essential as it will enable the project team to work together with other employees in actualizing the outcome. The project is very technical, which requires some employee knowledge in their departments. Communication will enable the project team to understand the essence of the project to the departments. These systems will affect all departments. Therefore, the project team will work closely with other employees to actualize the outcome (Arandi-Klee et al., 2020). The project sponsors would like to know the feasibility of the project by understanding the activities being carried out to ensure the efficiency and effectiveness of operations.

By communicating, people will understand the role being played by the project team in reporting information. Moreover, the project team will understand the project's objectives in the organization. Communication reduces the number of barriers to assumptions as all persons become familiarized with the project information, and the gap between the project sponsor and the project team is reduced. All stakeholders will also ensure that the project team is provided with all information required to disseminate information (Arandi-Klee et al., 2020).
