Executive Summary

Patel’s Marketing group provides media optimization strategy consulting services. With recent growth in the organization, the company looking to find new home where clients can be welcomed and employees able to participate in business with innovation, the project will be referred as PMG MOVE.

Project Purpose/Justification

With recent growth in our clientele, PMG is trying to build new office environment where clients can be invited for sale presentation with more demo rooms, and yearly where different clients can participate in summits and share there marketing technology stack and learn from each other.

Business Need/Case

As the need to add more talent to our growing team with increasing number of clients PMG is looking to move into new office space which can accommodate more employees and with modern open seat concept, when a client person in town can see the PMG employee in work and dedication towards projects.

Business Objectives

The objective of PMG MOVE is to create project plan, with all the deliverables captured and provide smooth transition into new office with interrupting the business and clients.

Project Description

The primary goal PMG MOVE project is provide seamless management and governing in relocating to new office without interruption of existing business and doing with the budget set by the company management. The project will be carried out in three faces described below.

· Access the existing physical equipment, technology platform both application and network.

· Preparing future office for migration (Procuring, contract, network establishment, migration)

· Moving the infrastructure and migrating the users to new location.

Project Objectives and Success Criteria

· Move the PMG IT infrastructure to cloud environment to avoid business interruption.

· Procure new office location and bind in contract as per organization strategic plan.

· Establish network connectivity at new location.

· Relocate non-client facing resources to new location to test connectivity.

· Establish ticketing system for employees to report any incident caused due to relocation.

Requirements

· User/employee able to connect to new network.

· Employee able to access all the required systems and able to perform daily function without interruptions.

· Employee able to use all voice and video conferencing systems as before.

· Incidents can resolve in timely manner, so there no concern on business continuity.

Constraints

· External contactors able to deliver the new office with desired floor plan and configuration.

· Lawyers able to bind the contact with leasing landlord.

· Infrastructure able to move to cloud environment in time to start the migration of users.

· Able to procure the network equipment’s as per new location.

Assumptions

· The cost center must be approved before starting any initial work.

· New network and cloud engineer procured and went through the technology infrastructure for future need of PMG.

· Legal team able to bind in contract with landlord in timely manner.

Preliminary Scope Statement

PMG MOVE project manager effectively established plan and able confirm the resources and funding from the management to move into new office location where employees and client have more scope to collaborate with increasing growth of PMG. The project will be delivered in time, and process establish for seamless moving of business from one location to other with business continuity.

Risks

· The IT team not able to move the infrastructure to cloud environment.

· Higher number of incidents which caused issue employee productivity.

· Clients are not happy with delay in delivery.

Project Deliverables

· Submit the cost center for PMG MOVE project.

· Hiring network and cloud engineer.

· Hiring legal team for securing the new office location.

· Inventorying the equipment at current location.

· Building network at new location.

· Migrating the infrastructure new cloud environment.

· Testing the connection of new location with non-client facing employees.

· Establishing the new incident ticket type fore move.

· Sending communication to clients once the new location is operational.

Project Approval Requirements

The approval for the completion of the project is all the employees able to access the previous systems, applications and no tickets

The responsibilities of PM are but not limited.

· Secure the funding from business.

· Build project charter and get the approval on scope of project.

· Raise the request to HR for new resource procurement.

· Able to identify the resources and book candidates as per project plan.

· Work with team members to come with deliverables and map the scope with individual tasks.

· Come with user training and enablement guides.

· Regular cadence to check with individual task for verification and quality control.

· Community with stakeholders’ projects and bring the risks for project delay or budget exceed.

· Go live communication.
