The System Requirement Document gives insight for applying the Leasing agency Management System project that was suggested by the management. The management suggested applying the new system because of the unreliability of the prevailing system in serving a large number of property owners and the benefit of digitalizing suer data. The lack of reliability and the processing time of the existing system is causing delays in processing applications, this impacts the future tenants and also existing tenants.
The document contains functional and non-functional demands that the suggested is expected to meet. All the high priority demand has been achieved for the project to be defined as an achievement. The system requirement document will be utilized through the project management group to identify what demands to be addressed and implemented (Baumann & Belser, 2020).
The improvement of leasing agents in the nation has led to a rise in the number of tenants visiting varied leasing agencies. The leasing agency, in particular, has been receiving more tenants than ever before. The organization’s current data management system cannot process the information on the delaying of tenants and raises the chances of mistaken entries being made into the system. To handle these challenges, the leasing agency has settled on the application of tenants' records management systems. The application and the database will be owned and handled by the management, the central database will be used to hold and handle the tenant’s data (Consiglio & Moschera, 2016).
Project Scope
The project will cover the procurement of a property software and database system to sustain the requirements of the software. New hardware that will be bought to host and maintain the new leasing agent systems are dedicated serve, memory, and PC upgrades. Networking cables, routers, and other miscellaneous equipment will be bought to connect the new system. The plan will encompass the enabling of the system, gathering of new customers data and entry to the system, digitalizing and processing existing applications.
Numerous commercial enterprise drivers are influencing the implementation of the mission. One commercial enterprise motive force is the preference to increase the performance, quality, and protection of its operations. A better functioning information management device will help process tenant’s data more effectively, minimize human errors, and reduce delays in application processing and handling monthly rental, to provide a fail-proof and seamless interactions between the customers and leasing management. A second commercial enterprise driver is the need to reduce operational value.
A powerful leasing application will assist in reducing human effort such as bookkeeping and increasing the processing power of the management. It will additionally streamline the process of managing records, handling accounts, providing information to government agencies and other required verifications. A third driving force is the need to improve customer coordination, an incorporated application will aid in ensuring the leasing agents and the customers. The system will help in the sharing of appropriate information with other government agencies like postal services, fire and emergency responders. Also, the housing market is a powerful economic driver (Crew K. C. M, 2020).
Current Processes
The current procedure for data entry and the management of the leasing agency is manual, this means the record keeping and the crucial information to be shared is not in a centralized location like a database and the interaction between the customers and the property management is not accessible through internet. The future tenants looking for an availability of leasing have difficult time looking for availability, billing and payment etc.
Proposed Approaches
The task does not endorse the change in the agency’s techniques or the creation of new procedures. The undertaking pursuits to support the existing techniques with a reliable, fast, and effective record management system and enabling an internet accessible application for online payments, and other activities, as the demand for housing increases and the need to keep up with the demand requires an effective system to handle the demand and the number of applications (Hall. M, 2020).
