Project Title: Legacy Timesheet Software Decommission

Project Overview/Deliverable

Currently, the organization’s timesheet software is outdated and not useful for current processes and

procedures. This is a project to upgrade to a new software and decommission current timesheet

software for all global employees. This project will cover the selection of new software, transition from

the current software to the newly selected software, employee training and administrative assignment

for ongoing management of the new software.

Scope

The project includes the following tasks:

1. Manage bid process for new timesheet software selection

2. Work with leadership to select a new software

3. Customization, Build and implementation of new software

4. Work with HR to develop processes and procedures that support the new software.

5. Determine and manage decommission efforts needed for current software

6. Employee-wide training on new software

7. Change management plan for switching employees and dealing with resistance

Resources

Sampson’s Design, owner of previous software, will support the decommission of the site.

Budget

$125,000 including a 10% contingency fund of $12,500 to respond to risks.

Bid Process Complete Make final selection of new software that will be used for timesheet management.

Implementation of New Software The new software has been built, installed and successfully tested.

Change Management Plan Create a change management plan that supports the communication efforts to help prepare employees for the timesheet software and processes.

Processes Create and finalize all new processes associated with aligning the new software with current business practices.

Training Provide suitable training that covers processes, procedures and software overview for all employees prior to Go-live of new software.

Decommission Legacy Software The legacy software has been discontinued, removed and all employees transferred over to new software.

Roles/Responsibilities

Customer/Sponsor: Provides overall direction on the project. Responsibilities include: approve the project charter and plan; secure resources for the project; confirm the project’s goals and objectives; keep abreast of major project activities; make decisions on escalated issues; and assist in the resolution of roadblocks.

Project Manager: Leads in the planning and development of the project; manages the project to scope. Responsibilities include: develop the project plan; identify project deliverables; identify risks and develop risk management plan; direct the project resources (team members); scope control and change management (separate from deliverable); oversee quality assurance of the project management process; maintain all documentation including the project plan; report and forecast project status; resolve conflicts within the project or between cross-functional teams; ensure that the project’s product meets the business objectives; and communicate project status to stakeholders.
