Writing a proposal email

Hello Mr. Gluck,
I hope all is well with you. I am writing for your assistance and thoughts on how your Product R&D department can participate in the User Conference the team at User Experience is beginning to plan. The User Conference is an event that we will be inviting the Living4Learning customers to attend, for promotional, feedback, and improvement purposes.
My hope is to have a meeting with an assembled team from your department that can discuss our product thoroughly from a technology perspective; including any current issues we are working on improving, new updates coming out, and the possibilities of what the future of our product holds. We will then be taking all of this data, and translating it into a user-oriented presentation for the conference. Part of this presentation will be announcing new updates or products to celebrate the innovation and get our clients excited. Our team will be in charge of the translation of the meeting to user-friendly terms and ideas, so your team does not need to worry about the client aspect, they only need to focus on the product at our meeting.
I am also hoping, with the help of your team, to create a poll or survey exclusively for the clients coming to attend the User Conference. This poll will have specific questions or concerns about the product, that our team will streamline for our meeting. Your team can then answer our customer’s specific questions, and these answers will be apart of the presentation. This will aid us in building a FAQ (Frequently Asked Questions) page for our website, so that we do not overload the Customer Relations, or the Product R&D team, with the same questions in the future. As well, it will allow our customers faster answers to their questions.
I would appreciate if you could get back to me at mdurlak@uwaterloo.ca by Friday, October 26th. We can then discuss how to best survey our customers, and decide a meeting time that works best for the Product R&D team before the User Conference.
Regards, Monica Durlak User Experience Representative mdurlak@uwaterloo.ca
