Your coding departments at each hospital will move under a consolidated coding department within the umbrella of a corporate HIM Department. There will no longer be separate coding with the HIM Departments at each hospital. One of the things you must accomplish is setting up this consolidation. The individual HIM managers at each hospital will no longer manage the coding function in the HIM Departments, which is a change. There will be one coding manager working in your corporate office. Coders must move to working from a remote environment. They will be offered at home positions, or they may drive or relocate to where the corporate HIM office is located. Some of your staff is excited while others have significant fears of the change. Some of the coders do not want a different manager, they don’t trust the consolidation, they don’t understand how communication can work in a remote environment, they are afraid of using technology in a remote environment, and some don’t want to change their work environment. Your job is to get everyone on board. This change will be a significant cost savings for the organization overall in terms of freeing up usable physical space, eventual savings of managers’ salaries, consolidating staffing, and other positive organizational impacts. You goal is to get over the change hurdle quickly and get your team as productive in the new configuration as soon as possible. So, your task is to create a game plan / strategy for managing the change. Your CIO has requested you create a formal report to share with her before the formal work of this change begins in two weeks. Assignment Deliverables:
The first part of the report is to be an initial communication meant to be shared with your staff after the CIO review, giving them (the staff) the feedback of their excellent performance in moving their organizations’ coding forward after the staffing changes. You will be formulating a clear vision of why this new change of consolidation is necessary and the benefits of the change. You want to empower them to act on the vision. Then, your report is to describe for the CIO in detail what you will do for each category of coder:
a) those excited about the opportunity and looking forward to the change.
b) those who are reluctant but willing to give it a go; and
c) those who have their heels dug in and are resistant to the change.
