As-Is Process Flow Chart Evaluation

Select a process from an organization you work for or are familiar with. You will use this process in your Week 2 & Week 4 Signature Assignments as well.

Create a flowchart of the as-is process using Microsoft Word, PowerPoint, Vizio, or Excel.

Evaluate the efficacy of your process using process improvement techniques.

An example of the process improvement technique is the six sigma technique that includes DMAIC tools. The process starts with determination of the problem. The problem or the need is defined for the problem solving. The process should entail metrics of measuring the important to quality aspects of the whole process (Metrics. Investopedia. 2020). This includes having a negotiation process between the suppliers and the approval of the required budget (Metrics. Investopedia. 2020).

The process does not contain proper documentation of all the steps taken in the main stages of the process. This includes the technical specification and the performance stages. Documentation is always important as it is used in the audit process as well as a future reference.

Process Improvement Flow Chart

Determine how the process can be improved based on the results of your evaluation.

Proper documentation is important for the entire process. Few changes should be made to ensure efficient communication between different departments for efficient documentation of the process.

Define metrics and measure the current process. 

Metrics are used as a measure to compare, track or assess a certain process that the management might require data on. This occurs when the management wants to improve something. This process will be done using a plot graph that will determine how often documentation takes place.

 

Use process improvement techniques to improve the process. Create a flow chart of the improved process using Microsoft Word, PowerPoint, Vizio, or Excel. Use your professional judgment to ascertain how the future process will perform according to your metrics. 

Summary

Write a 525-word executive summary that includes the following: 

· A brief description of the process based on the flowchart of processes current state 

· The results of your process evaluation and how the weak points can be strengthened. Include a description of the process improvement technique(s) used. 

· A brief description of process improvements based on the process of the future state 

· How you anticipate the future process will perform based on metrics used to evaluate process current state

· A description of your process improvement project to achieve the process future state

 

This is an engineering process whereby the documents written by the engineers get released to the convoy. In the current process, the engineer writes and updates a document on the process then sends it to the integrity team lead of the process. The lead then receives the documentation via email from the engineer. He then assigns a technical writer who reviews the document. The reviewing process includes editing the document and emailing it to the engineer for reviewing and requesting a list for more reviewers of the document. When the technical writer gets the list of the document reviewers, he then sends these reviewers the document for technical review. When the technical team reviews the document and gives comments on the same, the document is then returned to the original author. The author then either approves or disapproves the comments. The approved comments are included into the document. The document is again sent out for a formal review. After completion of the review, the necessary changes are made and the document send to the chief of engineering. Their role is to give comments on the document and provide signatures for the same. Comments from the chief engineer are reviewed by the author of the document for approval. The technical writer then prints the document that has been approved by all parties in the organization.

Why it does not work.

The current needs of the organization surpass the orientation of the document review above. In past times, this process worked and yielded positive outcomes for the organization. However, it currently does not work as it takes much time. While everything is done via email, the process up to 6 weeks to complete the document. It is important to have a shorter time of producing these documents so as to ease the production process. Once the process is incorporated in the organization, there will be less time taken for processing of these documents as the people involved don’t have to take long for email replies.

Anticipated Metrics

We will ensure that all documents are tracked in the next three months. The tracking process will comprise of monitoring the documents from the starting point to the end when the document processing comes to an end. This will give the exact period of time taken for the document processing.

Future Updates

Incorporation of the process will resolve the time issue in the organization. Many changes will also take place to allow a fast documentation process. The signatories of the documents will perform this process electronically. Instead of the normal physical presentation of the documents to the signatories, they will be able to view the documents and sign them electronically. The movement of the document will be electronically monitored. Therefore, the project manager will be able to know the phase that the document is undergoing thus holding each party responsible for any errors or delays occurring in the documentation.
