Subject: Clocking In and Out with Honesty

What’s UP?

It has come to the attention of the management team here at All Safe Insurance Company that much of the individuals employed here are taking advantage of the company by reporting more hours worked than they have actually put in. We have come to find out that “some people” have been having others clock in and out for them or they are just not bothering to clock out at all when going to lunch or to run personal errands. This is COMPLETELY UNACCECTABLE and must come to a halt IMMEDIATELY. In order to insure this unacceptable behavior does in fact come to a halt, the management team here at All Safe Insurance Company has created a policy for clocking in and clocking out. May you please review the policy included in this memo? All individuals employed here must begin following this policy right away.

WHY THIS MATTERS…

It is very important to understand that dishonest logging of hours worked is costly for are entire company as a whole. It costs All Safe Insurance Company money in not only stolen wages paid, but also in benefits and as I’m sure you can imagine, even impacts the annual profit sharing distributions. All in all, it’s just not fair for people to make the choice to misrepresent they’re hours worked and end up negatively empacting everyone. The management team here at All Safe Insurance Company request that everyone take all of these negative repercussions into account, choose to be honest about their time logging and adhere to the new policy that we have been forced to put in place due to the poor choices of some.

The rules……The new policy is as follows below.

Remember, this applies to each and every employee who is required by their job description to clock in and out to log their time worked. First and foremost, you must wear your official company ID around your neck at all times when you are in or around the building. You must also arrive at least five minutes prior to your scheduled shift and go immediately to the time clock and clock in using your company ID. (You MUST CLOCK YOURSELF IN! YOU ARE NOT AT ANY TIME TO HAVE ANOTHER INDIVUDAL CLOCK IN FOR YOU!) This will allow you plenty of time to get clocked in and will help people avoid missing out on pay they are entitled to. That said, you are to refrain from clocking in more than five minutes before your scheduled shift. There are now cameras monitoring the time clock, so if your time logging seems as if its being falsified, we will pull the video log. Also parttime workers may not log more than 25 hours weekly and fulltime workers may not log more than 40 hours weekly. Workers exceeding these hours without prior approval from management will be disciplined or even fired.

Now please also keep in mind that there are rules about clocking in and out throughout the working day. You are not required to clock out when you take a bathroom break, but we as the management require that you don’t abuse this obvious privilege. If your direct supervisor begins to sense that you are taking advantage of the privilege of free bathroom breaks, you will be disciplined and might even be fired. Each employed individual is gifted 2 15min breaks a day. You may use this break time for smoking in the designated smoking area, reading, taking a walk, making a phone call, etc. You will not need to clock out for these breaks. However, when leaving for your scheduled lunch time, you must clock out. During lunch you must leave the floor. You can either leave the building entirely, or stay in the breakroom. If you are not clocked in management does not want you on the floor. If you have to leave the building for any reason whatsoever beyond lunch you will also need to clock out for this time. Basically, anytime you leave your post for more than the two allotted fifteen minute breaks, you MUST CLOCK OUT! Also note that when it is time to leave at the end of your shift, you must clock out immediately. If you want to socialize with others, please clock out first before doing so. Also, remember that if you are not clocked in you may not be on the floor.

Please adhere to these policies as management would hate to see someone lose their job. If you have any questions or suggestions or concerns, please contact your direct supervisor.
