Officer Selection and Training

Introduction: Electing and training motivated, competent officers is vital to the success of the

organization because they lead the events of the organization and support the members. I’m

writing my procedures on the selection and training of officers for a large, state-wide

organization.

Election Procedures: Nominating Committee Method

Members of the organization who are interested in serving as officers must first submit an

application outlining their involvement in the organization, awards earned, past leadership

involvement, and a personal statement describing why they want to serve.

No more than 50 applicants will be excepted to continue to the interviews with the nominating

committee.

All candidates will participate in 5 minute one-on-one interviews with each member of the

nominating committee, a panel interview, a memorized presentation, a “role-play” round to

see how they will interact with members, and a written test covering basic knowledge of the

organization.

The nominating committee will meet and decide which candidates are most qualified for officer

through discussion and ultimately a majority vote of the nominating committee members.

A select group of members will be asked to review the candidates to ensure that the

nominating committee’s decision aligns with the perspectives of the members. The committee

then has the options to hold another interview round and review their decision.

Officer Duties and Responsibilities:

President: Run meetings using parliamentary procedure, serve as the non-voting head of

committees, and act as a representative of the organization at public functions.

Vice-President: Assume responsibilities of the president if the president is absent or unable,

oversee the Program of Work/Activities, work with the president and advisor to insure growth.

Secretary: Prepare the agenda for meetings, present the minutes of the previous meeting, keep

a record of membership, and take responsibility for chapter correspondence.

Treasurer: Handle, and keep an accurate record of, all expenses and incomes, present the

treasurer’s report at meetings, and serve as chair of the finance committee.

Reporter: Serves as the chair of the public relations committee, writes a newsletter or other

form of publication promoting chapter accomplishments, works with local new, radio and TV.

Designated Photographer.

Sentinel: Keeps the facilities and materials of the chapter in good condition, maintains order

during events, and welcomes members and guests.

Vice-President at Large: Assists in accomplishing all the goals of the organization, putting on

events, and taking on special tasks and responsibilities as they arise.

*Note: All officers will be required to present workshops, teach lesson for members, present a

motivational speech, and help with set up/tear down for events.

Officer Training/Development:

At the beginning of the year officers will go through a training that will cover their individual

responsibilities, proper dress code for different events, etiquette, and a summary of the events

that will take place that year. This training will take place in a formal setting, and the officers

will live together for the week.

Officers will also go on an out-of-state trip where they will tour ag industries, attend a

conference that teaches them leadership, presentation, and conflict resolution skills, and

participate in fun team building activities.

Each month the officers will meet in a formal setting to discuss the progress of the organization

and up-coming events. The officers are also encouraged to plan their own bonding activities

each month, and the president is tasked with making sure they happen.

Additional Materials:

A location will be provided where all officers can meet for team bonding events or formal

meetings, and will serve as a place they can stay when coming to or from official organization

events.

Officers will be taken on special trips where they can network and practice their etiquette skills.

Officers who do not follow the organization’s Code of Conduct are eligible for suspension from

organization events, and repeated infractions could result in loss of position.

Officers who are dedicated and productive can also be awarded with special privileges such as

attending special events or serving on national committees.
