Grow your business
1: BACKGROUNG:
Grow your business is the organization which produce food from organic methods. It started from john backyard which was large and he also use the unused land of their neighbors. John believe that farming was in his blood because his father and grandfather was farmer. John love to grow vegetable of their own as like his father and grandfather but the difference is that his father use to attend cattle more but john passionately dedicated towards farming side. He still have some cow and chicken to provide manure and for the source of milk and eggs. John was popular among their costumer because john grew good vegetable without any use of pesticide and artificial fertilizers. Initially john didn’t have much costumer so it easy to maintain but now with the growing business costumer is increasing day by day so now he need information system which help him to maintain his business and have record of their costumer.
2: ORGANISATION CHART

3: Description of area of the organization under study
The owner of organization is John and his wife Jane is co-owner. Organization splits in two different parts one part related to customers services, order taking, accounts, billing, order pickup and delivery while other part is all related to farm and production of vegetables. As john love farming and skilled in production side so he see all this while jane skilled with accounts and finance so she see all the work related to order, billing and order pickup. So now the area of organization under study is, what are the problem with the current system of the organization like they don’t have proper way of ordering customers feel so difficulties in this process they want easy and efficient way of ordering. So we need to make the new information system for the organization so that all the problem should be solved by new system. New information system should capable of managing the order, home deliveries, pickup and etc. Due to new information system get a lot of profits like customer’s satisfaction, proper billing method and etc. All of this point discuss below.
4: SYSTEM VISION DOUCUMENT
4.1: PROBLEM DESCIRIPTION
As the business increased with the passage of time so there was a lot of problem raised. Some of the problems listed below
· As the customer call and placed the order they are happy with the services but it take too much time, so customer need fast and easy way to order.
· There are some regular customers which placed the same order all the time. So the information of regular customers and their order should be saved.
· John always try to tell customers about the different product which are unwanted by them. They don’t like this things because this time wasting.
· They don’t have proper billing method. They don’t have customer payment record and they even don’t know have payed, not payed or partially payed.
· When the order is done they call customer for the pickup. As the parking area is small and a lot of customer come at the same time for pickup so area become crowded and customer have to wait for long to get there order.
· Sometime due to weather and harvest issue john confuse that vegetable is available, due to this customer are not happy because they don’t get what actually they want.
· John find difficult to manage all the box for his customers.
4.2: SYSTEM CAPABILITIES
The listed below describe the system capabilities for the new information system of organization. The system capable of following things
· Easy and comprehensive way of order through website.
· System have proper information about their regular customer and their order.
· Electronic way to pay the bills due to this customers and organization both have records of payments.
· Proper and efficient information about which product is available in store if product is not available then when will be it available.
· Efficient and proper timetable for customer for picking their order.
· Proper and sequential detail about which product belongs to which customers.
· Best routes and fast way of delivering as much as deliveries in less time.
· Provides regular updates of customers order on daily basis.
· A good, friendly and efficient way of advertising the new product to customers.
· A way so that customers give feedback and complain about the organization.
4.3: Business Benefits
The primary and best benefits of these capabilities of the system is to give the best services to their customer due to which the sale increase. The specific benefits are
· Increase the customer satisfaction this increase the revenue.
· Attracting customers with the good and efficient way of advertising new products.
· Both customers and organization have proper record about billing and payment.
· Efficient and easy way for paying the bills.
· Due to tracking the product customer can easily have information about their product.
· Fast pickup and home delivery services.
· Database which can handle more customer’s detail.
· Customers have information about when the different products available.
· Get to know about the feedback and complain from customers this help them to make their services more efficient.

Task 4 |

This work break down structure tell us that first task is to know about business and this will take 2 days. Second task is to identify the system issues this is done by interviewing the staff members and customer and this will take 8 days. Third task is to analyze farm records, billing, home delivery and payment procedure this will take 8 days. Fourth task is to design Gantt chart and perform cost benefit analysis this will take 2 days. Last task is to produce the report about initial investigation and submit it to jane.
So the overall duration of project is 22 days.

7: Simplified risk
There are some risk in developing the new information system these risk are listed below.
· Project developer is new and not so much experienced. Inexperienced project manager and poor leadership cause failure in information system (Winters 2002, as cited in Hajeer S 2012, p. 1272).
· System proof not beneficial for organization.
· System may take long time for giving profit to organization.
· May be the new system is not understand by customers. According to Hajeer S(2012, p. 1271) that the complexity of information system causes failure. Due to complexity customer can’t understand the system this result in failure of information system.
· May be it take more time to develop new information system than expected time.
· May be the amount of money exceed from estimate amount.
· May be the organization reject the system.
· If the system fails then the whole business will collapse.
· Some changes required in between developing the system.
· Requirement is not clearly understand by the team.

8: Cost benefit analysis
8.1: Tangible benefits.
· Records about customer’s product and payment.
· Efficient and fast delivery services.
· Increase the sale of the organization.
· Increase the revenue of the organization.
8.2: Intangible benefits.
· Increase customer’s satisfaction.
· Attract more customers.
· Increase organization reputation.

8.5: Payback analysis
Payback analysis is one of the way of performing cost benefits analysis. In this technique first you have to find out the overall cost of the project for this you need to sum up the initial cost with the cost which is going to be spend on maintenance every year. To see the total benefit you have to take maximum 5 years this is because IT change or updated day by day so after 5 years your system become old and you need an updated system.
The table below show the cost benefit analysis by using payback method.
· Figure 8.3 show that 113,000 dollars is the total cost pf the project.
· It say that 50,000 will be benefit in first year.
· For the maintenance 10,000 will spend on project every year as shown in 8.4.
· It is considered that 10% will be the increase in profit every year.

8.6: Return on Investment (ROI) Analysis
Cost benefit analysis through this technique is done by formula which is
ROI= Total benefit- Total cost
Total cost
If the return on investment is positive it mean that organization get profit from the system even after spending so much money on it or if it’s in negative then the organization is in loss from that system.
ROI=385,780.5-163,000
163,000
ROI= 1.3%
9: CONCLUSION
As with the demand of organic fruits and vegetable the business is growing rapidly. So organization must require the new information system which manage the whole organization and produce the better result. So it’s highly recommended for the organization to have this information system after completing all the calculation and report I can say this this system is beneficial for organization and it give profit to organization.
