Inventory database

University of Maryland Global Campus

7 November 2021

The database will need to be monitored and updated regularly to ensure that it has a record which is up to date. Monitoring can be done on monthly basis to help ensure that it reflects all the inventory which is brought in and the inventory which is used up during the period. The process of monitoring should also entail looking at any errors which exist in the inventory spread sheet such as wrong quantities or prices recorded and ensure that they are all corrected (Song et al., 2020). The data base shall be updated on need basis meaning that once there is new inventory changes they should be updated to avoid having a pile of work at the end of the month.

The information in the database should be accessible to all the lab members and this can be achieved by giving the lab employees the needed authority to access the records from the computers and devices within the lab. The database shall only be accessible to a few and not all the employees. These employees will have a password which they will use to get into the database and once in the database they will only have a few permissions meaning that not all the employees will have the permission to delete, add or make changes in the database.

The purchasing process starts when an order is made by the lab for the needed materials. Once the order is made the suppliers deliver the materials into the facility and are paid for their services depending on the terms of payment agreed on initially. The tracking process starts once the materials get to the lab. It involves ensuring that the materials are first properly stored and then used for the purpose which they are intended for (Wild, 2017). It also tracks the inventory to know when and how they are used. The tracking process also aims at ensuring that materials and resources are well utilized and not wasted.
