Project Scope:

The AIAA lab locates in Rog 104 and providing good environment and items for clubs student to achieve their competitive goals. The project of American Institute of Aeronautics and Astronautics (AIAA) sponsored by Oregon state university (OSU) [2]. The lab contains 5 clubs with different purposes, but recently three groups moved to Graf Hall. The two groups that use the rocket lab are Experimental Sounding Rocket Association (ESRA) and Design/Build/Fly (DBF) clubs. Both teams work to design rockets and demonstrate the flight capabilities to competitive with other clubs around the US. Because that both teams have upcoming competition, team 205 will manage and organize Roger lab 104 to make the work more smoothly. Out of the lab, the teams need to recognize from both teams the specific using storage that they need to put unwanted staff or later tools using. Group-205 is the only group that in charge of dealing with this project. Our duties are using 5S method and facility planning designing. These methods that team decide to use to increase the efficiency of the space and increase productivity of the both teams.

Problem Statement and Exiting Solutions:

After meeting with Dr. Nancy Squires, the team recognized how the lab needs to be reordered[3]. Team 205 visited the lab and met both teams, which were complaining about the small size of the lab. The sponsor/advisor Dr. Calvo sees that the system should be enhances to speed up the process instead of searching about solutions for the space[1]. Dr. Nancy and Dr. Calvo mentioned that the pervious team came with 5S method solution. Unfortunately, the pervious team falls to gain big progress in the system. Last year, team number 10 was working to do reschedule for all clubs were using the lab. There were 5 teams working at the same lab, which hard to plan a schedule since all the teams have to use the lab in random timing [1] and [2]. In addition, team 10 working to build 5S method to organize the lab and make cleaning system by removing unwanted staff. However, the sponsor advisor Dr.Calvo sees that 5S method is the key to estimate solutions for the lab. Indeed, having accurate data and high effort of using 5S method will lead do create good impressive difference than pervious team project. Recently, team 205 will work with fewer clubs after three teams moved to the Graf. The team and will work with DBF and ERSA clubs to redesign the layout and apply 5S method in efficient that organization of the lab.

Team Approaches:

Team 205 consists of three members, including the manager, the Webmaster and coordinator. The manager cares about dividing the work between members and checking the deadlines of the assignments. The Webmaster is responsible to work in citation and check whether they are credible sources or not. Finally, the coordinator is responsible to schedule meetings and collecting data from members. The team 205 contacted the sponsor advisor Dr. Calvo through emails and scheduled regular meeting every Friday at 8:30am to discuss the plan for upcoming week. Dr. Nancy and Dr. Calvo provided the data for the pervious teams, so they asking us to make better changes in both layout and system. Otherwise, the team started to build team charter and WBS chart to show Dr. LeRoux about our progressing planning. Then, we will get feed back to make adjustments to be successful. After collecting the data and divide tasks, we need to apply some technics to increase efficiency and decrease waste time. Actually, the team approaches after several meetings 205-team decide to build new layouts that could increase the efficiency and decrease the waste spaces. In regards of the layouts, D-score and utilization methods that I learned in facility designing IE 368 will help to make the comparison between the layouts, and then find the optimal solution. The programs that will use to build the layouts are Visio and Excel. Dr.Calvo recommends checking the system of the work in the lab and using concepts of 5S method to ease the work for the both team and eliminate obstacles. 5S method is includes 5 words, which are sort, set in order, shine sustain and standardize. This strategy method created to organize the items and equipment for any foundations or facilities. For example, doing red tag marks for the tools that not needed, then take it to the storage. Actually, the team planes to build posters about using of equipment and reschedule time using the lab to avoid interference.

Constrains and Assumptions:

For the constraints, the team supposes to meet Ryan Johnson but we are still looking for the nearest opportunity to meet him and discuss the rules. The project is unpaid according to Dr.Calvo but they could provide $300 max. Regard to the budget, team 205 needs to find ways that not costing at least the max budget. Weeks 5-8 will have meetings with both teams ESRA and DBF during their working hours to discover the process and items that not needed. Our assumptions that the rocket teams need more space to work faster and able to competed with other universities teams. Therefore, we will try to organize the lab by building new layouts and choose the optimal one. Also, using 5S method will help to order problems and provide solutions to smooth the work. Otherwise, the team plans to get extra help through watching YouTube and read researches to figure best ways that could increase the space efficiency with out forgetting to achieve goal with lower cost materials. Furthermore, the team provides several skill lists that could support such as dealing with facility layouts since team members already did a project in IE 368. However, using also SWOT and GAP analysis will give big push to go forward and treat threaten that the team could face.

Since, 205- team is the only group working in this project, it will be risky cause it is extremely to double-check every step before and following steps. That’s why we require weakly meeting with Dr.calvo to evaluate and presenting PowerPoint about the strategies that need to achieve the goal of the scope. In addition, the time manner is one of the risky factors causes it is a must to engage with group and taking notes through their meetings while most of team members taking more than 15 credits this term. Another risk factor that DBF group has 18 members that makes our hard to achieve since the lab size is small. Indeed, most items lost because student from other clubs pick tools from Rog 104 with out return the item back after use. Collecting data is not enough in purpose to solve the time problem. The team should check safety since; both teams work with cutting machines in the lab. Also, needs to practice each strategy to state whether each strategy is working for the project or not.
