Scope Statement

Project Title: Global Trep Project

Project Justification:

The Global Treps project is initiated to develop a fully functioning website within six months in four different countries this includes one at a local academy that provides templates and procedural guidelines for running events like shark-tank. This would fund food and drinks on both occasions, as well as incentives for the winners, with a budget of $1,000 for each occasion. This would include new PCs and online links to all the employees who live overseas to stay in communication with them, with a budget of $120,000. According to estimates $30,000 for moving costs, $20,000 for supplies and programming, and about $20,000 for arranging events, specialists, legal/business bills. Most costs will be for internal labor, and the hardware that would be use will be outsourced. The website shall accept donations, product and services ideas, and a section for organizations to create custom websites to promote their events. This project does not include holding shark-tank like events on the website. The main goal at task is to ensure that it pays for itself as soon as possible after completion within two years.

Product Characteristics and Requirements:

The Global Treps report will create a fully functioning website and test it by holding 4 events in 4 countries. This project will provide a functioning website designed to show organizations how to hold shark-tank like events by:

· Specific guidelines and templates provided for running events similar to Shark-Tank.

· Providing an e-commerce feature on the website so that donations can be accepted from other colleges and investors who want to hold this type of event at their school or organization

· Accepts donations from potential investors targeted toward specific schools or organizations wishing to host an event.

· Providing a page on the website containing a form that visitors can fill out to offer ideas for new products and services.

· Accepts ideas for needed new products or services

· Provides guidelines for these organizations to conduct marketing and promotions for winners and losers in each event, create their own custom site to solicit local participants, and sharks, accept applications.

· Provide promotional videos to display on the main website to promote these events.

Note - Templates and tools guidelines and templates for running a shark tank type event. These files will have to be formatted in the most common format such as Microsoft Word.

Event Requirements

Location

· In our original plan we decided against the hosting of virtual shark-tank events. Naturally, we will instead need these events to be hosted in different rooms at the 4 different locations.

· The rooms must be large enough to hold the Sharks (judges), Audience, Serve Refreshments, house all the needed hardware, and finally have enough space for the presenter to comfortably present their website. (Multiple linking rooms may be needed)

Materials

· Hardware/Software will be needed to run the test websites brought in by the speakers. This included a computer capable of smoothly running the sites, likely already connected to a projector used to for presenting the site. (Max $5000 in hardware per event)

· Outlines and guides will need to be made and given to the speakers beforehand, these guides must clearly outline the rules for the event, while also encouraging donations and participation in the event.

· Refreshments will need to be present during the event, decoration should also be done to give a more professional look to the room holding the event. ($1000 is being funded to the event for Refreshments per event.)

People

· For every event a group of judges will need to be selected, these judges should be qualified for that position based on position/role within their organization. (Someone with web experience would be better than someone w/o.) They should be given clear values to judge from, and their objective is picking the overall best site design.

· Everyone on our side must be given certain roles to ensure this overall project runs smoothly. Everyone should be aware of their roles and help each other whenever possible. (Someone may be assigned to arranging Transportation, while someone else works to find necessary hardware.)

Summary of Project Deliverables

Project management-related deliverables - scope statement, work breakdown structure, Gantt chart, videos, website with twenty sub-websites, project schedule, cost baseline, status reports, lessons learned documentation, recommendations for a follow-up project, and business case.

Product Deliverables:

Outsourced Items - Video creation, Event Production, Donations, and Equipment.

1) Video creation. The video will be outsourced and developed using professional industry standards. These videos will be viewable on the main website and may also be used for marketing purposes.

2) Event production and marketing can be handled by a professional company such as: VeracityColab. This company can handle all our production needs from video creation to marketing. They boast a impresses resume working with notable companies such as Microsoft and Experian.

Starting Price: $10000.

3) Donations can be handled by Eventbrite. Eventbrite is an all-in-one solution that can be used to accept donations for our event. Everything is set up on the website donor by creating donation tickets and choosing a payment processor. There are no service fees but a 2.5% payment processor fee for using the default Eventbrite payment system.

Price: Eventbrite Service Fee: 2% + $0.79 per sold ticket. Eventbrite Payment Processing Fee: 2.5% per orderAll of the hardware that would be use will be outsourced

4) MacBook’s will be provided to each member of the team so they can stay productive. MacBook’s have a variety of software built in that can be used to help with the creation of the project.

Website and 20 sub-sites:

5) Main Website. The main website will be constructed using industry standards and best practices. Visitor will be able to submit applications, submit new ideas and suggestions to make the events better, include a page where twenty colleges/organizations can access their custom websites, and test the website by hosting four events within a four-month period.

a) Sub-websites. Team members will assist each of the twenty chosen schools/organizations in holding and promoting events similar to shark-tank in their respective locations. Team member will also assist in navigating and customizing individual sub-websites.
