Dear (name)

I am a student at (school name) and this is my second semester at the university. The purpose of this letter is to discuss my concerns with the (School name) Bookstore.

During both semesters I have observed students who go the lower floor to get their books and then line up at the Information Desk hoping to pay for the items that they picked up. This has happened every single time that I have been at the bookstore. In fact, the first time I went to the bookstore, I made the same mistake. I believe that adding more signs that explain this system would help solve this issue.

The second problem is that there are incomplete sections for classes. I have searched for textbooks multiple times by following the designated signs that each row has. However, some of the sections are missing some classes because they are located in a different part of the store. This system is very confusing and difficult to follow. For example, I was searching for a textbook for (class name)and when I found the section for Decision Science Courses,(class name) was not included in the list of classes under (course). When I spoke to the person at the Information Desk, they told me that my book was not only out of stock, but it was on the other side of the store. One way to eliminate this problem would be to bundle all of the items that fit within a category for specific classes and put them together where they are accessible. I think that would benefit not only the students, but also the bookstore employees.

I hope that these issues can be resolved.

Sincerely

Yelp Review:

I am really disappointed with the bookstore. I went there last week to check if they had the book I need for one of my classes, they didn’t. I talked to someone at the Information desk and he told me that they were supposed to order it and it should be in stock soon. So I went there this week and the same guy told me that they are out of stock and I need to put in a special order. I’m in a big class that a lot of people need to take for their major. How is it possible for them not to have the textbook? They don’t even have the access code. I wanted to purchase the physical copy along with the access code because the online version of the book sucks. Also the guy that helped me looked super confused both times. He kept asking me to repeat the class name and the instructor’s name. Then he took like 10 minutes to search for it! Then he said he would go looking for it and came back after another 10 minutes with no book. Not only that, but the section in the bookstore for the class name does not contain my class. Like it’s in a different part of the store, which is super frustrating. I would recommend looking for your books on your own and don’t even approach the info desk. I already emailed my professor, but it looks like they just don’t have anything for the class.

Reflection:

Each response needed a different approach. For the formal letter, I chose a respectful tone towards someone with authority. I wanted my concerns to be taken seriously by President (name) and that is why I offered solutions to the problems. I did not want to be confrontational, I wanted to be helpful as a student. That is what motivated me to present two problems along with my own personal experience shopping at the bookstore. The yelp review was more of a rant that did contain an outline of the main problem I had with the bookstore. However, my motivation was not to solve the problem, but frighten students and prevent them from shopping at the bookstore. My tone was less formal and I did not have anything at stake. The people who would read the review would not know that I wrote it. The mask of anonymity gave me a chance to just write without thinking of the format and not care about how I presented myself to others.

The message to a friend was a little bit different. I chose to write a text and use emojis. The receiver of this message was my friend and since they know my personality, I allowed myself to be truthful. I did made sure to attach a text where I state that I do not want my friend to feel attacked. The dynamic is completely different compared to the formal letter and yelp review. My tone was that of a frustrated student who is worried about their assignment and my friend is a student, therefore, my friend would comprehend the situation because the same thing happens to them.
