Same Writing Approach ... 

One of my favorite books that I use here at Limestone.  The author does a great job outlining an approach to effective writing.  Systematic process that applies to most all type of letters.  The approach of all writing is Pre-writing (goal of message and identify the audience), Writing (composing the message in a 3-paragraph format) and Editing (reviewing and making message brief and effective).

For Emails 

Start with a attention-grabbing Subject Line ... create a reason for the reader to read the email (be professional)

P1 ... include intro and specific reason or request.

P2 ... details and facts of the first paragraph.

P3 ... follow up with time, dates and resolution.

* A new customer has requested product information. They are interested in doing business with our company. They have also requested quotations on two products.

* American Red Cross Blood Drive is coming up in two weeks. Typically your department has had limited participation with this type of activity.

* The company has implemented a no smoking policy for all employees. Smoking is not permitted on company property.

* The company is creating a special work team to improve customer complaints and improve response time to customer complaints. Your department is one of the primary departments that come in contact with our customers.

* The information for new health care benefits is available for 2012. Human Resource department has requested that all employees attend the meeting. Employees have been skipping the meeting and then coming to HR department with many questions … very inefficient process.

* One of your employees has been recognized in the community for outstanding charity work. The company has made a $1000 donation to recognize the job well done by your employee.

* Monthly budgets are out. You need to review the results of your department and make corrections to the areas that are over budget.

* You have just recently hired another employee for your department. The employee will work closely with customer service and customer complaints.
