1. Definitions

1.1 The following words and expressions shall have the meanings hereby assigned to them:

1.1.1 Academic Members: Faculty Members and Instructional Members.

1.1.2 College: College of the North Atlantic - Qatar.

1.1.3 Examination: Any course examination that is taking place during the semester period, including the midterm and final examinations that may be comprehensive in nature or limited to specific topics taught throughout the duration of the course offering.

1.1.4 Faculty Members: members of the teaching and/or research staffs, whether on part- or full-time, holding the following titles: Professor, Associate Professor, Assistant Professor, Senior Lecturer/Senior Technical Instructor, or Lecturer/Technical Instructor.

1.1.5 Instructional Members: members of the teaching staff, whether on part- or full-time, holding the following titles: Assistant Lecturer/or Workshop/Lab/Clinical Instructor, Assistant Technical Instructor, or Teaching Assistant.

1.1.6 Student: a person who is presently enrolled at the College in a credit course or who is designated by the College as a Student.

1.1.7 Placement: a period spent by student(s) in an employee’s business or organization for the purposes of clinical work or work term.

1.2 Where the context requires, words importing the singular shall include the plural and vice-versa.

2. Policy Purpose

2.1 The College recognizes that Student success is improved by regular attendance and participation in class. The purpose of this policy is to establish rules and regulations for student attendance in the courses for which they are enrolled.

3. Policy Scope

3.1 The policy applies to all registered College Students and it is intended to establish their responsibility as it relates to attendance.

4. Policy Statements

4.1 General Principles

4.1.1 Monitoring attendance can provide an indication of Student commitment, motivation and any difficulties, which need to be addressed.

4.1.2 Attendance is a key component in Student retention, progression and achievement, as well as development of employability attributes - e.g. workplace skills and professional ethos.

4.2 Academic Attendance

4.2.1 Students are responsible for the regular, punctual attendance of at least 90% of all scheduled classes, examinations, and prescribed activities for the courses in which they are registered.

4.2.2 Academic Members are required to monitor Student attendance and ongoing participation in the course.

4.2.3 Attendance is calculated monthly for all scheduled courses and activities, which are part of a Student’s overall attendance record.

4.3 Excused Absences

4.3.1 An absence may be excused for the following reasons:

4.3.1.1 Illness supported by a medical report from a physician recognized by the College;

4.3.1.2 Active military service;

4.3.1.3 Participation in an official College function;

4.3.1.4 Approved travel for Umrah;

4.3.1.5 National Team Member competitions; and

4.3.1.6 other extenuating circumstances.

4.3.2 A Student is responsible for requesting an excused absence by providing satisfactory evidence to the Academic Member to substantiate the excused absence. In case obtaining such consent in advance is not feasible for any plausible cause, the Student must submit a detailed explanation of the absence, evidenced by necessary documents within two days of their return to class.

4.3.3 If the absence is due to illness, the Student is responsible within two days of the return to class, to bring a medical note signed by a doctor and displaying an original doctor and/or hospital stamp for validation to the Admissions & Registration Department.

4.3.4 Absence of Students does not relieve them from the course requirements, assignments, papers, reports and other coursework, and Students are responsible for investigating alternative arrangements to compensate for missed work. However, a Student will not be penalized for an excused absence and will be allowed to take an examination or complete an assignment from which the Student is excused within a reasonable period after the absence. Failing to satisfy an excused absence, Students must accomplish their assignments by any deadline specified by the Academic Member, and missed Examinations will be counted as 0%,

4.4 Placements (Clinicals and Work Terms)

4.4.1 Students who undertake a placement as part of their programme are responsible for ensuring that their attendance matches the requirements of the placement provider. Placement providers will inform the College if a Student is failing to maintain a good attendance record, which may lead to the Student being withdrawn from the placement activity and potentially from their programme of study.

4.5

4.5 Disciplinary Actions:

Students who incur an excessive number of absences, will be subject to progressive academic disciplinary action as per the following, and as further defined by the relevant procedures:

4.5.1 Students who are absent 10% or more during the semester and are failing 25% or more of the course hours attempted in a semester will be dismissed for one semester.

4.5.2 Students who for the first time are absent 10% or more during the semester and are failing 25% or more of the course hours attempted in a semester may be placed on attendance probation for one semester.

4.5.3 In case of dismissal, copy of the dismissal letter must be forwarded to the School Dean and Counsellor.

4.5.4 All relevant communications and notes relating to attendance concerns must be maintained on the Student record.

5. Procedures

5.1 The Associate Vice President of Student Affairs will ensure that procedures are developed and implemented in accordance with this policy.
